About the position

The Payroll Specialist position at System One is a contract role based in Pittsburgh, Pennsylvania, focused on providing exceptional customer service to the company's U.S. stores, field management, and various departments within the organization. The primary responsibility of this role is to ensure accurate payroll processing by verifying, balancing, and auditing payroll transactions. The Payroll Specialist will serve as a key point of contact for store associates, addressing their inquiries and providing support related to payroll matters. This includes utilizing the Kronos time reporting systems and ADP EV6 payroll systems to assist employees effectively. In this role, the Payroll Specialist will interact with a diverse range of stakeholders, including ADP (the payroll service provider), employees, field management, legal counsel, HR, IT, and other departments. Effective communication regarding payroll policies, procedures, and issues is essential. The specialist will perform verification and balancing functions, research discrepancies, and ensure the accuracy of payroll transactions. Additionally, they will administer the time reporting systems to ensure compliance with FLSA overtime rules and facilitate the timely collection of employee hours for payroll processing. The position also involves coordinating activities related to processing accelerated termination pays, issuing manual checks, managing direct deposit returns, and maintaining confidentiality of sensitive information. The Payroll Specialist will assist with W2 emails, password resets within ADP EV6, and may also support Canada Record of Employments (ROEs) as needed. Other projects and duties may be assigned as required, making this a dynamic role within the payroll department.

Responsibilities

  • Provide excellent customer service by responding to store employees/management and addressing inquiries in a timely and professional manner
  • Interact and partner with ADP (AE's payroll service provider), employees, all levels of field management, legal counsel, HR, IT and other departments in the company
  • Communicate effectively concerning payroll policies/procedures and issues
  • Perform verification and balancing functions, and research discrepancies as necessary to ensure the accuracy of payroll transactions
  • Administer AE's time reporting systems to ensure the proper setup of FLSA overtime and other rules, and the timely collection of employee hours for processing in the payrolls
  • Coordinate activities related to processing accelerated termination pays and issuing manual checks
  • Manage direct deposit returns
  • Ensure department confidentiality of sensitive information
  • Assist with W2 emails and password reset within ADP EV6
  • Assist with Canada Record of Employments (ROEs) as needed
  • Perform other projects and duties as assigned

Requirements

  • Bachelor's Degree in Finance, Accounting, or a business related field preferred
  • 2+ years of relevant work experience (payroll experience [specifically ADP] preferred)
  • High degree of proficiency in Gmail, Excel and ADP
  • Strong analytical, prioritizing, interpersonal, and problem-solving skills
  • Strong verbal and written communication skills
  • Demonstrated collaborative skills and ability to work well within a team
  • Ability to work in a fast-paced and deadline-oriented environment
  • Self-motivated with critical attention to detail, deadlines and reporting
