About the position

The Payroll Specialist is responsible for processing accurate and timely payroll information, conducting payroll audits, and serving as a point of contact for payment policies and procedures. This role emphasizes customer service and proactive problem-solving to ensure positive employee relations. The Specialist collaborates with various departments to ensure quality reporting and documentation, contributing to the overall efficiency of payroll operations.

Responsibilities

  • Compile payroll data and process payroll accurately and timely according to established calendars and regulations.
  • Assist managers and timekeepers with systems for accurate time accounting.
  • Coordinate end-to-end payroll functions using agency software, including calculating paychecks and maintaining payroll records.
  • Collect banking information for direct deposit setup and manage payroll issues.
  • Partner with HR for accurate entry of salaries, increases, and deductions.
  • Audit and monitor Retirement 403(b) contributions for employees.
  • Process and monitor garnishment orders and government mandates affecting payroll.
  • Stay updated on payroll processing systems and changes in wage or tax laws.
  • Ensure secure and confidential maintenance of payroll reports and data.
  • Generate and process quarterly Worker's Compensation filings with the state.
  • Enter and extract data from HRIS and Accounting systems for reporting and compliance.
  • Respond to inquiries with excellent customer service skills.
  • Liaise with internal and external departments as necessary.
  • Assist in managing HR-related content on SharePoint.
  • Provide guidance to managers and staff on payroll processes.
  • Process payroll-related mail and invoices, including state unemployment files.
  • Complete timely employment verifications for employees.
  • Manage employment records retention in accordance with employment law.
  • Complete special projects and perform other duties as assigned.

Requirements

  • Demonstrated knowledge of payroll processing best practices and regulations.
  • Ability to function well in a high-paced environment.
  • Strong attention to detail and ability to improve procedures.
  • Ability to read and interpret tax and retirement documentation.
  • Proficiency in basic math for payroll calculations.
  • Ability to maintain confidentiality and professionalism.
  • Strong interpersonal skills and emotional intelligence.

  • Ability to work independently and collaboratively.
  • Excellent written and verbal communication skills.
  • Aptitude for learning new technology and software.

Nice-to-haves

  • Experience with HRIS and/or ATS databases such as Paylocity or Dayforce.

  • Familiarity with housing instability and related social issues.
