About the position

The Payroll Specialist is responsible for processing weekly payroll for both hourly and salary employees in a multi-state environment. This role involves calculating wages, withholding taxes, auditing time off banks, and balancing employee contributions to various benefits. The Payroll Specialist also addresses employee inquiries, maintains accurate financial records, and prepares reports for management, ensuring compliance with all relevant payroll regulations.

Responsibilities

  • Audit employee time and labor data and interact with supervisors to verify data and resolve discrepancies.
  • Process payroll for a multi-state corporation.
  • Ensure payroll processes comply with state, federal, and local payroll systems by implementing best practices as regulations change.
  • Assist with balancing payroll accounts and resolve any payroll discrepancies.
  • Analyze and respond to inquiries from employees regarding paycheck amounts, deductions, leave accruals, direct deposit, and other concerns.
  • Process garnishments and communicate garnishment information to all parties.
  • Work with payroll system to ensure compliance with federal, state, and local legal requirements, establishing necessary tax accounts.
  • Monitor and complete tax filings as necessary.
  • Continuously refine reporting procedures to enhance data accuracy and relevance.
  • Recommend updates to internal processes based on data-driven insights and industry best practices.
  • Work cross-functionally to streamline processes and eliminate manual tasks through automation and technology solutions.
  • Investigate complaints of noncompliance with prevailing wage payments, benefits payments, and apprenticeship violations.
  • Work with LCP Tracker software to review and approve certified payroll and payroll documents.
  • Answer and resolve any prevailing wage/certified payroll related issues timely and escalate as necessary.
  • Update knowledge and skills related to systems, processes, and requirements to maintain capabilities at the highest level.
  • Ensure that prevailing wage related transactions follow external and internal policies.
  • Audit all system entries for new hires, status and compensation changes, and termination submissions in support of the HR team.
  • Analyze payroll reports such as Certified Payroll, Job Costing, Gross Payroll Registers, and PTO Accrual to ensure timely tracking and accruals.
  • Collaborate with other functional areas on payroll issues and projects, including HR, Benefits, & IT.

Requirements

  • Minimum of 3 years payroll processing experience in a large, multi-state environment.
  • Minimum of 3 years of experience in Certified Payroll, Union Reporting, and Labor Compliance.
  • A minimum of an Associate's degree or Bachelor's degree, or comparable experience.
  • Strong attention to accuracy and detail.
  • Strong interpersonal and communication skills.
  • Ability to work independently and as part of a team.
  • Strong organizational planning and time management skills.
  • Ability to protect confidential information.
  • Working knowledge of MS Office software (Excel, PowerPoint, Word).
  • Excellent communication skills, both written and verbal.
