About the position

The HR Specialist - Payroll at Save A Lot is a pivotal role responsible for overseeing all aspects of timekeeping and payroll processing in collaboration with a third-party provider. This position requires a comprehensive understanding of human resources and payroll systems to ensure accurate and timely payroll production on a weekly and bi-weekly basis. The HR Specialist will gather timecard data, prepare pay files, conduct payroll audits, and manage complex transactions with the payroll provider. Additionally, the role involves analyzing processes for regulatory compliance and recommending improvements to enhance efficiency and accuracy in payroll operations. In this role, the HR Specialist will prepare and process all payrolls and off-cycle payments while ensuring compliance with federal, state, and local wage and hour regulations. They will manage timekeeping, approve payroll entries, and support the collection of repayments and wage garnishments. The specialist will work closely with the vendor's payroll team, reviewing and auditing entries within the payroll system to ensure accuracy. They will also monitor connection files, perform manual file transfers when necessary, and review year-end reporting to ensure compliance with all reporting requirements. The HR Specialist will assist team members with escalated payroll questions, maintaining a high level of confidentiality and customer service. They will develop and document payroll processes in line with company policies and procedures, and complete other assigned tasks as needed. This role reports to the HRIS Manager and plays a crucial part in various HRIS processes and projects, contributing to the overall efficiency of the HR department.

Responsibilities

  • Prepares and processes all payrolls and off-cycles while ensuring compliance with all federal, state, and local wage and hour regulations.
  • Manages timekeeping and approves, finalizes, and signs off on payrolls.
  • Reviews and approves the entering of New Hires, Job Changes, Pay Changes, and Terminations.
  • Supports repayment collection and directs wage garnishments to the provider.
  • Works closely with the vendor's payroll team.
  • Reviews and audits entries within the payroll system.
  • Monitors and confirms connection files are functioning properly, and may perform some file transfers manually.
  • Reviews and audits year-end and other annual reporting.
  • Reviews time and attendance system to ensure accuracy of hours reported.
  • Audits information prior to processing payroll to ensure accuracy.
  • Audits any benefit deduction changes, compensation changes, and other types of adjustments.
  • Assists with all reporting including but not limited to pay period, monthly, quarterly, annual, and ad-hoc reporting.
  • Assists team members with escalated payroll questions and related issues while maintaining a high level of confidentiality and customer service.
  • Works with the provider to comply with federal, state, and local employment law and tax legislation.
  • Develops and documents payroll processes based on company policies and procedures.
  • Completes other assigned tasks and duties as needed.

Requirements

  • 1-3 years of related experience with payroll required.
  • Experience with Paycor or Dayforce HCM preferred.
  • Bachelor's degree in information technology, Human Resources Management, Business Administration, or related field preferred.
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) preferred.
  • Familiar with HR/Payroll policies and procedures including federal and multi-state laws/regulations.
  • Robust analytical skills; knowledge of configuration, testing, and implementation techniques.
  • Excellent interpersonal and technical support skills.
  • Strong analytical and problem-solving skills.
  • Able to handle and safeguard sensitive information with discretion and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to work independently and under minimal supervision.
