About the position

The Payroll Specialist position at InDyne, located in Crestview, Florida, is a critical role that involves hands-on management of the payroll process utilizing timekeeping software and Deltek/Cost Point Labor/Payroll modules. This position is responsible for assisting personnel in preparing various company labor, leave, and payrolls on a weekly, bi-weekly, and semi-monthly basis. The Payroll Specialist will ensure that payroll processes are executed accurately and in compliance with company policies and federal regulations. In this role, the Payroll Specialist will process multiple labor, leave, and payroll cycles, validating and auditing timekeeping records to ensure compliance with company policies and the Federal Acquisition Regulation (FAR). The individual will perform a variety of record-keeping and payroll processing activities, including calculating benefit contribution adjustments for new hires and terminations, as well as managing leave, PTO, and sick time accrual adjustments. Maintaining employee bank information in the Deltek/Cost Point Employee Information Management files is also a key responsibility. The Payroll Specialist will assist in the payment process, which includes printing paper checks, preparing ACH payment advisories, and validating the success of ACH files in the banking system. Additionally, the role involves preparing out-of-cycle checks for terminations and vacation payouts, working closely with Accounting and Human Resources staff on all payroll-related issues, and serving as the administrator of proprietary timekeeping software. This includes creating timesheet access for new hires, discontinuing access for terminated employees, and assigning tasks as required for personnel labor billing needs. The position requires the Payroll Specialist to field inquiries and concerns from employees and managers, provide validated information to support upper management data inquiries, and assist the Accounting Manager in compiling audit request support data. Other duties may be assigned as necessary, reflecting the dynamic nature of the role.

Responsibilities

  • Processing multiple labor, leave and payroll cycles; weekly, bi-weekly and semi-monthly.
  • Validating and auditing timekeeping records for compliance with company policies and FAR compliance.
  • Performing a wide variety of record keeping and payroll processing activities, including calculating benefit contribution adjustments for new hires and terminations.
  • Calculating Leave/PTO/Sick time accrual adjustments for new hires, terminations and employees not completing minimum number of hours worked in a time period.
  • Maintaining employee bank information in the Deltek/Cost Point Employee Information Management files.
  • Assisting in payment process, printing paper checks, ACH payment advises and validating ACH file success in the bank system.
  • Preparing out of cycle checks such as termination and vacation pay-outs.
  • Working closely with Accounting and Human Resources staff on all payroll related issues.
  • Administering proprietary timekeeping software, involving the creation of timesheet access for new hires, discontinuing access for termed employees and task assignment as required for personnel labor billing needs.
  • Fielding inquiries and concerns from employees and managers.
  • Providing validated information to support Upper Management data inquiries.
  • Supporting Accounting Manager in compiling audit request support data.
  • Performing other duties as required.

Requirements

  • Minimum of five (5) years plus related experience in payroll processing.
  • Good analytical skills.
  • Good computer skills - Microsoft Office (Word, Excel, Outlook).
  • Good oral and written communication skills required.
  • Data Gathering, Analysis, Corrective Actions and Reporting.
  • Deltek/Costpoint Labor Leave & Payroll module experience preferred.
  • Experience processing payroll for SCA and Union (CBA) employees.
  • Experience in data collection, entry and reporting with attention to detail.
  • Outstanding organizational, time management and confidentiality skills.

Nice-to-haves

  • Experience with Deltek/Costpoint Labor Leave & Payroll module is preferred.
