The Payroll Specialist position at our State College, PA location is a full-time role responsible for processing weekly payroll for current staff and completing a variety of after-payroll tasks, including filing necessary tax reports. This position requires direct interaction with employees and outside entities, necessitating a courteous, friendly, and professional demeanor. As an hourly, non-exempt position, the Payroll Specialist will work under both direct and indirect supervision, ensuring that payroll processes are executed accurately and efficiently. In this role, the Payroll Specialist will engage in heavy 10-key data entry, record and classify accounting transactions, and compile various documents while verifying their accuracy. The position involves assembling documents for computer input, ensuring the accuracy of itemized charges, account numbers, and totals. The specialist will select the correct accounts, post and verify balance, debit, and credit entries, and maintain journals. Additionally, the role requires maintaining records through filing, retrieval, retention, storage, compilation, coding, updating, and purging. The Payroll Specialist will respond to inquiries and check accounting transactions to locate and resolve discrepancies. Proficiency in various software applications, including spreadsheets, relational databases, and statistical packages, is essential for assembling, manipulating, and formatting data and reports. The position also entails processing weekly payroll entirely in-house, from time entry to printing and mailing checks, as well as printing necessary reports on a weekly, monthly, quarterly, and yearly basis. The specialist will maintain file maintenance for employee deductions, enter wage tables into Viewpoint for proper pay on prevailing wage projects, and print and mail certified payroll reports as required by job owners weekly. Furthermore, the role includes preparing and filing quarterly and yearly payroll tax returns, completing unemployment and verification of employment forms, and exercising proper care and maintenance of company equipment. Additional assignments may be given by the supervisor, and the Payroll Specialist may be required to work long and unusual hours.
