About the position

The Payroll Specialist at Vetsource is responsible for supporting the Payroll Manager in managing the full cycle payroll process, ensuring compliance with local, state, and federal regulations. This role involves processing multi-state payroll, handling employee inquiries, and collaborating with various departments to maintain accurate payroll records and reporting. The position is fully remote and emphasizes an employee-centric approach to payroll management.

Responsibilities

  • Process multi-state bi-weekly and ad-hoc payroll for employees accurately and timely.
  • Review and/or calculate wages, overtime, deductions, and bonuses.
  • Generate finalized payroll reporting after bi-weekly processing and provide additional reports as requested.
  • Respond to requests and questions from employees and management regarding payroll issues and discrepancies.
  • Ensure compliance with federal, state, and local payroll regulations and tax laws.
  • Coordinate the reconciliation of payroll accounts and resolve discrepancies with the accounting department.
  • Collaborate with the benefits and leaves team for accurate processing of employee benefits and deductions.
  • Assist with year-end payroll processes, including W-2 preparation and distribution.
  • Stay updated on changes in payroll regulations and tax laws to ensure compliance.
  • Manage the interface for Flexible Spending Accounts and 401(k) accounts, performing periodic audits for accuracy.
  • Research and recommend process improvements and payroll systems/updates.
  • Assist in internal and external audits, including the annual 401(k) audit.

Requirements

  • 3+ years payroll experience or equivalent combination of education and experience.
  • Associates Degree or equivalent education and/or on-the-job experience.
  • Strong understanding of payroll principles, practices, and regulations.
  • Proficiency in payroll software (e.g., Workday, ADP, Paychex) and MS Office, especially Excel.
  • Excellent customer service skills, both internally and externally.
  • Ability to identify process efficiencies with attention to detail.
  • Effective in a team environment with both technical and non-technical team members.
  • Strong organizational and time management skills.
  • Self-motivated with a strong desire to learn new products and technologies.
  • Ability to maintain confidentiality of payroll information and sensitive employee data.

Nice-to-haves

  • Familiarity with multiple payroll systems, with Workday experience specifically preferred.
  • Certification in Payroll (e.g., APA, CPP)
