About the position

The Payroll Specialist at Spalding University is responsible for managing all aspects of the payroll process, ensuring accurate and timely payroll processing, maintaining payroll databases, and adhering to proper policies and controls. This role serves as the primary point of contact for payroll inquiries and involves various tasks related to payroll management, including tax calculations and compliance with regulations.

Responsibilities

  • Process payroll for faculty, staff, and student workers.
  • Investigate and resolve payroll issues, making necessary corrections as needed.
  • Review and approve MOA/Grant Contracts; generate personnel action notices within the Paycom system.
  • Calculate income tax amounts for Graduate Assistantships and Tuition Remission credits; manage tax debits to student accounts.
  • Process and transmit 403(b) contributions on a regular basis.
  • Enter miscellaneous journal entries into the general ledger accurately.
  • Assist the Staff Accountant with monthly benefit account reconciliations and address related questions.
  • Prepare check requests for fringe benefits carriers and contributions.
  • Maintain organized and up-to-date files of all payroll documents by quarter and calendar year.
  • Oversee calendar year-end processes, including the preparation and distribution of W-2 forms from Paycom.
  • Assist with the Annual 403(b) Census and Audit processes.
  • Serve as the primary point of contact for employees with payroll inquiries, delivering excellent service and support.
  • Perform other duties as assigned by the supervisor or department.

Requirements

  • Familiarity with payroll systems, preferably Paycom.
  • Excellent organizational skills and attention to detail.
  • Ability to handle sensitive information with confidentiality.
  • Strong communication and interpersonal skills.
