About the position

The Payroll Specialist is responsible for processing the monthly payroll and benefit data for all district employees at Eaton School District. This role ensures that employees are paid accurately and on time, while also managing payroll records and compliance with labor laws and district policies. The position requires a solid understanding of accounting fundamentals and payroll processing for a minimum of 30 employees.

Responsibilities

  • Process payroll - prepare, verify and issue paychecks.
  • Ensure employees are paid accurately and on time.
  • Consolidate timesheet information, enter data into payroll databases, and distribute funds to employee payroll accounts.
  • Track employee monthly overtime and gap time.
  • Set up and process direct deposit transfer information for all employees and process positive pay file.
  • Calculate and balance payroll taxes, benefits and deductions.
  • Process and monitor garnishment orders.
  • Process employee pay adjustments.
  • Prepare and transmit payroll contributions and reports, including 941 quarterly reports, UITR quarterly reports and monthly Colorado PERA report.
  • Prepare and distribute annual W2s to employees and process W2 file to upload to Social Security, the State of Colorado and Colorado PERA.
  • Prepare requested documents and files for annual external financial and workers compensation audits.
  • Process the annual CDE Human Resources Report.
  • Manage employee payroll records related to payroll, benefits/deductions, leave, and retirement programs.
  • Provide excellent customer service to district employees.
  • Track employee hours, sick leave, and vacation time.
  • Ensure compliance with labor laws, tax regulations and district policies.
  • Serve as the backup for the Human Resource Technician.
  • Other duties as assigned.

Requirements

  • Payroll experience required with 30+ employees.
  • High school diploma or equivalent.
  • Solid understanding of accounting fundamentals.
  • Pass background check upon recommendation to hire.

Nice-to-haves

  • Bachelor's degree in accounting, business or related field.
  • School District payroll experience.
  • Knowledge of Infinite Visions financial software.
  • Knowledge of Frontline Software suite of products: Absence Management, Time and Attendance and Recruiting and Hiring.
  • Desire, ability, and willingness to learn, ask questions as needed, research solutions to problems.
  • Interact in a positive manner in a team environment.
  • Positively and professionally interact with teachers, administrators, and students.
