About the position

The Payroll Specialist is responsible for managing various payroll functions, including processing multi-state bi-weekly payroll, maintaining payroll systems, and ensuring compliance with regulatory requirements. This role involves direct administration of payroll processing, vendor relationship management, and support for accounting journal entries related to payroll in US locations. The Payroll Specialist also provides training and support to staff regarding payroll processes and engages with third-party suppliers to uphold quality standards.

Responsibilities

  • Process multi-state bi-weekly payroll accurately and timely.
  • Maintain payroll system and employment records.
  • Monitor timeclock system and data for accuracy.
  • Print payroll reports and process garnishments and wage attachments.
  • Support accounting journal entries related to payroll in compliance with fiscal policies.
  • Coordinate with internal and external stakeholders to ensure regulatory compliance.
  • Engage in direct administration of payroll processing and related reporting with Payroll Suppliers.
  • Provide training and support to staff regarding payroll and timesheets.
  • Assist in setting up payroll in new US locations and provide guidance as needed.
  • Engage with third-party suppliers to ensure quality standards and adherence to SLAs.
  • Support internal and external payroll audits and prepare payroll-related documents for compliance.
  • Research discrepancies in payroll information to ensure accuracy and adherence to procedures.
  • Review periodic tax filings with federal, state, and local authorities for accuracy and timeliness.
  • Work with Accounting, Finance, and Human Resources to ensure accurate payroll accounting entries.
  • Assist with reconciliations related to payroll and benefits, ensuring compliance with garnishment requirements.
  • Communicate issues or changes related to pay or policy to affected groups.
  • Perform ongoing quality assessments of payroll processes and drive continuous improvement efforts.

Requirements

  • 3+ years of payroll and/or accounting experience required.
  • Bachelor's degree from a four-year university preferred.
  • Knowledge of wage and hour laws, payroll tax, and federal/state specific employment and payroll laws.
  • Demonstrate thorough knowledge of payroll, time and attendance policies, and payroll planning for multiple states.
  • Ability to collect and interpret information to enhance payroll services, including reporting requirements and metrics.
  • Strong relationship management skills and effective communication abilities.
  • Knowledge of payroll process design and ability to identify areas for process optimization.
  • Ability to work efficiently and effectively while maintaining attention to detail.
  • Ability to handle confidential information and sensitivity to service population's cultural and socioeconomic characteristics.

Nice-to-haves

  • Experience with accounting software and payroll systems.
  • Intermediate knowledge of computer programs in a Windows environment.
