About the position

The Payroll Specialist at Dundee Township Parks District is a full-time, non-exempt position that plays a crucial role in managing the payroll functions of the district. Under the direction and supervision of the Director of Business Services, the Payroll Specialist is responsible for various payroll-related tasks, ensuring that payroll is processed accurately and timely. This includes reviewing and processing the district's bi-weekly payroll, which involves importing and balancing timekeeping data from the timekeeping software into the payroll software. The specialist will also be responsible for printing and mailing paychecks, processing direct deposit bank files, and administering the record-keeping of employee time off balances such as vacation and sick hours. In addition to payroll processing, the Payroll Specialist will file and pay federal and state payroll income taxes, handle miscellaneous deduction reporting, and perform year-end payroll processing and reporting, including W-2s. The role also encompasses payroll administration, where the specialist will import and enter new employee data from HR software into the payroll system, as well as manage existing employee data, including pay rate and payroll deduction changes. Compliance is a key aspect of this position, as the Payroll Specialist will prepare, file, and pay monthly IMRF wage reports and quarterly IDES unemployment reports, ensuring adherence to payroll policies and procedures. Effective communication is essential in this role, as the Payroll Specialist will respond to inquiries from employees in a timely manner and provide excellent customer service. The position requires maintaining accurate and organized payroll records and documentation, assisting with internal and external audits related to payroll, and developing positive working relationships with coworkers to promote high morale and enthusiasm. The Payroll Specialist will also be responsible for safety and risk management, maintaining knowledge of safety rules, and reporting any work-related injuries or unsafe conditions promptly.

Responsibilities

  • Review bi-weekly timekeeping data for accuracy.
  • Import and balance timekeeping data from timekeeping software into payroll software.
  • Review and process payroll accurately and timely.
  • Print and mail paychecks and process direct deposit bank files.
  • Administer record keeping of employee time off balances (vacation, sick hours, etc.).
  • File and pay federal and state payroll income taxes due.
  • File and pay any miscellaneous deduction reporting due (i.e., health deductions, garnishments, etc.).
  • Perform year-end payroll processing and reporting (W2s, etc.).
  • Import/enter new employee data from HR software into payroll software.
  • Import/enter existing employee data including pay rate and payroll deduction changes.
  • Prepare, file, and pay monthly IMRF wage report.
  • Prepare and file the monthly and quarterly IDES unemployment reports.
  • Ensure compliance with payroll policies and procedures.
  • Respond to inquiries in a timely fashion and provide excellent communication and service to employees.
  • Maintain accurate and organized payroll records and documentation.
  • Assist with internal and external audits related to payroll.

Requirements

  • Four-year college degree (or equivalent).
  • Valid driver's license required.
  • Typing at 30 wpm.
  • Detail-oriented with the ability to handle confidential information with discretion and professionalism.
  • Good physical condition, sufficient strength, and mobility required.
  • Knowledge and skills in technology, or the ability to learn.
  • Ability to learn additional software and systems required for business transactions.
  • Reading, writing, speaking, and understanding English language.
  • Possess good problem-solving skills and capacity to act rationally and calmly in high-stress situations.
  • Ability to work a varied schedule including some nights and weekends as required.
