About the position

The Payroll Specialist is responsible for processing and distributing bi-weekly payroll, managing time management systems, and ensuring accurate payroll tax calculations and remittances. This role involves interacting with supervisors for time approval, maintaining payroll records, and responding to payroll-related inquiries. The position requires attention to detail and the ability to handle sensitive information related to employee compensation.

Responsibilities

  • Processes and distributes bi-weekly payroll.
  • Computes contract amounts and calculates adjustments to wages.
  • Creates and imports time management files for each payroll.
  • Inputs changes to pay data and paid time off (PTO).
  • Inputs new hires and terminations into the payroll system.
  • Distributes hourly and salary wages between allocated departments.
  • Creates direct deposit files for payroll distribution.
  • Creates and prints manual checks as needed.
  • Maintains the time management system for employees.
  • Answers questions related to timekeeping and adjustments.
  • Interacts with supervisors for time approval and verification.
  • Extends the payroll calendar each year for payroll dates and holidays.
  • Recalculates and rolls over PTO for all employees.
  • Responds to payroll questions and performs related functions as required.
  • Requests reports and translates information from payroll records.
  • Compiles information for quarterly tax returns and uploads quarterly taxes to the state.
  • Creates spreadsheets for Federal and State taxes.
  • Calculates and remits payroll tax payments to IRS and state authorities.
  • Reconciles, distributes, and mails W-2 forms annually.
  • Reports any adjustments for year-end and uploads year-end information to IRS and State of Michigan after W-2s are finalized.
  • Prepares, reconciles, and uploads data files for the 403(b) plan and other annuity payments.
  • Remits funding for the 403(b) plan bi-weekly.
  • Compiles information and responds to unemployment claims in conjunction with human resources.

Requirements

  • High School Diploma required.
  • Bachelor's Degree preferred.
  • 1-2 years experience processing payroll.
  • Knowledge of benefits preferred.
