About the position

The Payroll Specialist at Holt Group Inc. is responsible for the accurate and timely processing of payroll on a bi-weekly basis, including special payroll runs and bonuses. This role requires close collaboration with the Human Resources department to ensure effective communication with employees while maintaining a high level of integrity, professionalism, and confidentiality. The position emphasizes efficiency, responsiveness, and continuous improvement in payroll processes.

Responsibilities

  • Accomplish and lead company biweekly payroll process.
  • Handle payroll related compliance areas, including setup of new tax entities, tax rates, and monitor tax filings.
  • Process garnishments, unemployment correspondence, workers' compensation reports, and pay rate monitoring.
  • Provide final paycheck, bonus, and other compensation with compliance and accuracy.
  • Provide timely payroll reports, PTO reports, workers comp reports, verification of employment requests, and audits.
  • Maintain compliance with federal, state, and local employment laws and regulations.
  • Create and update customized reports and financial dashboards, focusing on salary expenses for budget forecasting.
  • Track and update paycheck deductions and allowances, such as gas card overuse and wellness reimbursements.
  • Input and track pay raises, commissions, quarterly bonuses, and annual bonuses as needed.
  • Adjust and edit timecards and PTO accruals.
  • Monitor changing state minimum wage and adjust pay where necessary.
  • Maintain confidentiality of employee records and salary information.
  • Enroll newly eligible employees into 401k accounts and monitor contribution limits.
  • Lead payroll related audits such as 401k audits and workers compensation audits.
  • Perform other duties as needed.

Requirements

  • Associate's degree preferred.
  • Minimum of 3 years of multi-state payroll processing experience.
  • 3 years of combined experience in Accounting and Payroll.
  • Experience in HR is a plus.
  • Advanced knowledge of Office Suite (Office, Excel, PowerPoint, and Outlook).
  • Experience with payroll software required, Paycom preferred.
  • Experience with HRIS systems.
  • Thorough knowledge of payroll-related laws and regulations.
  • High proficiency in mathematical calculations.
  • Ability to learn new software and programs quickly and the ability to instruct others.
  • Excellent communication skills, both verbal and written, in English.
  • Ability to meet hard deadlines and organize, multitask, prioritize tasks efficiently.
  • Strong attention to detail with the proven ability to work accurately and follow up.
