About the position

The Payroll Specialist is responsible for managing the day-to-day operations of payroll functions within the organization. This role ensures timely and accurate compensation for team members while maintaining payroll records and ensuring compliance with relevant regulations. The specialist will address payroll-related inquiries and issues, making it a critical position for the smooth operation of payroll processes.

Responsibilities

  • Process payroll and perform related duties regarding team members' time and attendance in the payroll system (ADP).
  • Ensure accuracy in calculations of wages, bonuses, commissions, etc.
  • Reconcile payroll discrepancies and resolve issues with paychecks and deductions.
  • Address team member inquiries related to payroll, deductions, and discrepancies.
  • Ensure payroll operations comply with local, state, and federal regulations and labor laws.
  • Prepare and distribute W-2's, 1099, and other tax-related forms.
  • Process and maintain records in payroll systems regarding team member changes.
  • Process and distribute payroll, labor, and other pertinent reports to team leaders and management.
  • Assist with audits and provide necessary information.
  • Meet with team members upon termination and process paperwork related to termination.
  • Act as the primary resource for payroll software systems, processes, and updates, troubleshooting issues and consulting with vendors as needed.
  • Attend webinars and seminars related to payroll processes and procedural changes.

Requirements

  • Strong knowledge of payroll regulations and labor laws.
  • Proficiency in payroll software (ADP preferred) and Excel.
  • Ability to prioritize projects and work independently to meet deadlines.
  • Excellent oral and written communication skills.
  • Ability to be organized and detail-oriented.
  • Experience in Microsoft Office software and general computer skills.
  • Ability to adhere to the company's confidentiality policy regarding company and team member confidential data.
  • Knowledgeable of basic office equipment, i.e., copy machine, fax machine, phone systems.
  • High School Diploma.
  • Certificate or license from vocational or trade school recommended (Certified Payroll Professional (CPP) or Fundamental Payroll Certificate (FPC) desired).
  • 2+ years' experience working directly with payroll.
