About the position

We are offering a short term contract employment opportunity with a growing organization based in Plainview, New York. This role is critical to ensuring the smooth operation of our payroll systems and processes. The Payroll Specialist will be primarily responsible for managing timesheet approvals, training employees on payroll-related systems, performing clerical duties, and handling data entry tasks. The Payroll Specialist will communicate with employees through email and phone to secure timesheet approvals, provide training and instructions on the utilization of payroll-related systems, and carry out various clerical duties such as filing, scanning, faxing, and photocopying. Additionally, the role involves handling data entry tasks into Excel and the ADP payroll system, managing and performing audits on union calculations using Excel, downloading, distributing, and saving reports, creating and running custom reports from ADP, and utilizing ADP Workforce Now to process payroll. The specialist will also monitor customer accounts and take necessary actions based on account status, ensuring accurate processing of customer credit applications and maintenance of customer credit records.

Responsibilities

  • Communicate with employees through email and phone to secure timesheet approvals.
  • Provide training and instructions to employees on the utilization of payroll-related systems, including timesheet entry and access to online pay statements.
  • Carry out various clerical duties such as filing, scanning, faxing, and photocopying.
  • Handle data entry tasks into Excel and the ADP payroll system.
  • Manage and perform audits on union calculations using Excel as directed.
  • Download, distribute, and save reports as instructed.
  • Create and run custom reports from ADP.
  • Utilize ADP Workforce Now to process payroll.
  • Monitor customer accounts and take necessary actions based on account status.
  • Ensure accurate processing of customer credit applications and maintenance of customer credit records.

Requirements

  • Demonstrated proficiency in ADP Workforce Now is required
  • Proven experience in payroll processing is mandatory
  • Familiarity with payroll tax laws and regulations is essential
  • Must have excellent attention to detail and organizational skills
  • Strong interpersonal and communication skills are necessary
  • Demonstrated ability to handle confidential information with discretion
  • Proficiency in Microsoft Office Suite, especially Excel, is required
  • Must have the ability to work independently and as part of a team
  • Strong problem-solving and analytical skills are necessary
  • Experience in the architecture industry is preferred but not required.
