About the position

Dobbs Equipment is seeking a dedicated Payroll Specialist to join our team in Riverview, FL. This full-time position is integral to our Human Resources department, focusing on the accurate and timely processing of payroll for all employees. The Payroll Specialist will be responsible for managing multi-state bi-weekly payroll, including bonuses, commissions, and incentives, while ensuring compliance with all relevant laws and regulations. This role requires a detail-oriented professional who can handle both routine and non-routine payroll tasks, acting as a resource for payroll-related inquiries and procedural changes across the organization. In this position, the Payroll Specialist will reconcile payroll prior to transmission, validate confirmed reports, and monitor company input to ensure accurate data is received. The role also involves processing court-ordered wage garnishments and assisting the Payroll Manager with quarterly and yearly tax filings. The ideal candidate will possess strong communication skills to provide information to employees and managers regarding payroll-related questions and issues. Additionally, the Payroll Specialist will participate in various HR processes, including compensation and benefits, staffing, and employee development, ensuring that all payroll activities align with company policies and legal requirements. The successful candidate will be expected to maintain confidentiality, demonstrate strong interpersonal skills, and work independently with minimal supervision. This position offers an opportunity to contribute to the overall efficiency of the payroll function while supporting the broader goals of the Human Resources department.

Responsibilities

  • Process multi-state bi-weekly payroll for all employees including bonuses, commission, and incentives.
  • Act as a system-wide payroll resource by resolving problems of a non-routine nature and communicating procedural changes to payroll contacts.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Understand proper taxation of employer-paid benefits.
  • Monitor company input to payroll to ensure accurate data is received in accordance with prescribed timetables.
  • Perform routine and non-routine data retrieval, research, analysis, and reporting from payroll records as requested.
  • Keep informed of governmental and contractual changes that impact payroll operations and participate in planning and implementation of programs to effect these changes.
  • Responsible for the timecards system for employees.
  • Assist Payroll Manager with all quarterly and yearly Federal and State tax filings and forms.
  • Process court ordered wage garnishments, including child support, student loans, and tax levies.
  • Perform a variety of non-routine activities within Human Resources to support major processes such as compensation and benefits, staffing, and employee development.
  • Verify setup of each new hire with necessary forms, including direct deposit requests and I-9 information.
  • Process relevant employment paperwork in various systems used by Dobbs.
  • Provide information to employees and managers regarding routine questions and issues.
  • Gather and compile data to support compliance efforts for Payroll and HR.
  • Participate in the compensation and benefits process by gathering information and validating deductions.

Requirements

  • High School Diploma or GED required.
  • 4-6 years of payroll experience required.
  • Strong knowledge of Microsoft Word, Excel, and Outlook.
  • Experience with ADP Workforce Now highly preferred.
  • Ability to use an HRIS, such as ADP Workforce Now.
  • Knowledge of payroll laws and regulations, with a commitment to continuing education.
  • Strong attention to detail and ability to raise issues promptly.
  • Good interpersonal skills and strong verbal and written communication skills.
  • Ability to document work clearly and concisely.
  • High degree of confidentiality and an approachable demeanor.
  • Ability to work independently with minimal direction.
