About the position

Service Coordination, Inc. (SCI) is dedicated to supporting individuals with disabilities, behavioral challenges, medically complex needs, transitioning youth, the elderly, and other populations through various health and support models. The Payroll Specialist position is a full-time role that plays a crucial part in ensuring the accurate and timely processing of payroll for over 900 team members. This role involves maintaining payroll records, establishing new codes and tax jurisdictions, and processing both involuntary and voluntary deductions. The Payroll Specialist will also be responsible for balancing and controlling earnings and deduction totals, preparing and reconciling tax reports, and ensuring compliance with Generally Accepted Accounting Principles (GAAP). The Payroll Specialist will work closely with other departments and external auditors to maintain robust payroll internal controls. This position requires a keen understanding of payroll software, laws, and accounting practices, as well as excellent mathematical and time management skills. The ideal candidate will have a proven track record of reliability and trustworthiness, as well as strong communication, organizational, and problem-solving skills. The role also involves participating in process improvement initiatives and ensuring compliance with federal, state, and local payroll laws and regulations. In addition to payroll processing, the Payroll Specialist will handle various payroll-related tasks such as processing tuition reimbursements, student loan payments, and mileage reimbursements. The position requires a high level of detail orientation and the ability to manage multiple tasks under pressure. The Payroll Specialist will also be responsible for preparing reports for the Accountant and ensuring that all payroll transactions are accurately recorded in the general ledger system. Overall, this role is vital to the financial operations of SCI and contributes to the organization's mission of providing quality support to its clients.

Responsibilities

  • Process bi-weekly payroll for over 900 team members, including mileage reimbursements and tuition reimbursements.
  • Maintain accurate and timely payroll processing in compliance with GAAP.
  • Balance and control earnings and deduction totals, inspecting automated system outputs.
  • Prepare, reconcile, and file tax reports, including 941, W-2s, and W-3s.
  • Reconcile quarterly and annual payroll tax reports and provide reports to the Accountant.
  • Implement, maintain, and review payroll processing systems for timely and accurate payroll transactions.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Facilitate audits by providing records and documentation to auditors as requested.
  • Collect and verify timekeeping information of team members and consult supervisors about discrepancies.
  • Manage team member questions regarding payroll and resolve any errors in a timely manner.

Requirements

  • Associate degree in accounting or finance required; may substitute with 15 years of relevant work experience and/or certifications.
  • 7 to 10 years of experience in full-cycle payroll processing for a large company.
  • 3 years of experience with large payroll processing software required.
  • Extensive knowledge of payroll laws and GAAP accounting principles.
  • Strong communication, organizational, and problem-solving skills.

Nice-to-haves

  • Certified Payroll Professional Certification strongly preferred.
  • Experience participating in 403(b) and financial audits.
