About the position

The Payroll Specialist at Mott MacDonald will be responsible for processing and administering multi-state payroll for over 2000 employees using ADP Vantage. This role involves ensuring compliance with federal and state laws, managing payroll adjustments, and addressing employee payroll concerns. The position is integral to maintaining accurate payroll records and providing exceptional customer service to employees.

Responsibilities

  • Audit timesheet data weekly to determine compliance with Federal and state laws and company policy.
  • Independently perform all necessary activities to complete the bi-weekly payroll for 1900+ employees in over 40+ states in the USA and Canada, including new hires, terminations, transfers, and all employee changes.
  • Process adjustment payments, such as retro pay and bonuses.
  • Review all benefit changes and set up all wage garnishments.
  • Prepare management reports and audits.
  • Run & create custom reports using ADP Reporting.
  • Contact ADP to resolve any payroll issues.
  • Promptly resolve and respond to employee payroll concerns.
  • Transmit benefits after payroll to our providers.
  • Handle any special projects as needed.

Requirements

  • College Degree - Preferred but not required.
  • 4+ years of experience with ADP systems required.
  • Accustomed to working in a paperless environment.
  • Excellent customer service skills required.
  • Strong computer literacy, including Microsoft Office applications and Intermediate Excel.
  • Ability to prioritize effectively.
  • Good listening and communication skills, both verbally and in writing.
  • Work independently and within a team with minimal to no supervision.
  • Attention to detail and accuracy.
  • Proficient knowledge of payroll tax and labor laws, garnishment requirements, payroll recordkeeping, and reporting regulations.
  • Understanding of HIPAA and FLSA regulations.
  • Understanding of Payroll and reporting systems.
