About the position

The Payroll Specialist role is essential for supporting the payroll process for both US and Canadian employees, ensuring accurate and timely processing of wages and compliance with various regulations. This position involves a variety of payroll tasks, including data entry, maintaining payroll records, and collaborating with other departments to resolve payroll-related inquiries. Attention to detail and a strong understanding of payroll software and regulations are crucial for success in this role.

Responsibilities

  • Review and certify payroll transactions to ensure accuracy in payments and withholdings according to local labor laws.
  • Communicate with payroll support vendors for timely and accurate processing.
  • Research proper taxation of employer-paid benefits and payroll tax laws specific to countries.
  • Process and record payroll transactions in accordance with monthly deadlines.
  • Audit payroll registers prior to transmission and validate confirmed reports.
  • Research and resolve data conflicts impacting payroll processing.
  • Assist employees with payroll-related questions in a customer-friendly manner.
  • Communicate any irregularities or issues to the Director promptly.
  • Process off-cycle pay runs and manual payments as needed.
  • Collect and provide reports for internal and external audit preparation.
  • Monitor and distribute payroll reports for consistency.
  • Review payroll processes for efficiency and reliability.
  • Provide general support for payroll operations and perform related duties as assigned.

Requirements

  • Bachelor's Degree in Payroll, Finance, Accounting, or equivalent experience.
  • 3-5 years of US payroll experience; Canadian payroll experience is a plus.
  • Proven knowledge of the full life cycle of payroll.
  • Experience with multi-state payrolls.
  • Strong Microsoft Excel skills.
  • Experience with payroll software and tax reporting.
  • Discretion in handling confidential data.
  • Customer service orientation with strong verbal and written communication skills.
  • Demonstrated strong analytical skills.
  • Strong time management and organization skills with high attention to detail.
  • Ability to multi-task and work in a fast-paced environment under tight deadlines.
