About the position

The Payroll Specialist is a crucial role within the Human Resources department, responsible for the efficient and accurate processing of payroll for assigned companies and/or pay groups. This position requires a thorough understanding of payroll processes and compliance with established policies and regulations. The Payroll Specialist will manage inquiries, resolve issues, process transactions, and provide general customer service for the assigned companies or groups. The role demands a high level of accuracy and attention to detail to ensure that payroll updates, including new hires, terminations, and changes to pay rates, are processed in a timely manner. In addition to processing payroll, the Payroll Specialist will assist the payroll manager in maintaining and reviewing payroll processes to ensure that all payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions, are handled correctly. This includes preparing and maintaining accurate records and reports of payroll transactions, ensuring compliance with tax and labor laws, and assisting with audits by providing necessary documentation to auditors. The Payroll Specialist will also collaborate with the HR team to ensure adherence to established HR policies and interact with the Accounting/Finance department to ensure accurate data exchange and alignment between functional areas. The role also involves identifying areas for improvement in payroll processing and generating solutions to address any issues. The Payroll Specialist will assist with the preparation of W-2's and T-4's, manage ongoing payroll deductions, and maintain the activation and deactivation of sales personnel within the Motus system. Additional responsibilities include enrolling employees in the pay card program, assisting with certified payrolls, and participating in various reporting requirements such as EEO-1 surveying and California Data Reporting. Cross-training in all aspects of the full payroll process is also expected, along with handling verification of employment and processing garnishments in collaboration with third-party vendors.

Responsibilities

  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Assist the payroll manager with maintaining and reviewing payroll processes to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Assist with preparing and maintaining accurate records and reports of payroll transactions.
  • Ensure that payrolls are processed in a timely manner, adhering to established regulatory requirements and laws, including tax and labor laws.
  • Assist with audits by providing records and documentation to auditors as needed.
  • Collaborate with HR team to ensure compliance with established HR policies.
  • Interact with Accounting/Finance to ensure accurate data exchange in a timely manner and alignment between functional areas.
  • Identify areas of payroll processing for improvement and generate solutions to address issues.
  • Ensure/elevate a top-tier customer experience.
  • Assist the payroll manager with W-2's & T-4's preparation.
  • Set-up and maintain ongoing payroll deductions.
  • Maintain activation/deactivation of sales personnel within Motus.

  • Cross-train in all aspects of the full payroll process.

Requirements

  • Associate degree in accounting, human resources, or related field preferred.
  • 1 - 3 years' payroll experience required.
  • Knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
  • Experience with Workday preferred.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software.
