About the position

The Payroll Specialist position at Dolton School District 149 is a confidential role that plays a crucial part in ensuring the accurate processing and recording of payroll for the district. This position is responsible for providing timely and accurate financial information, participating in daily data entry, and managing payroll department operations. The workday is structured from 8:00 am to 4:00 pm, and the role requires a commitment to maintaining confidentiality while handling sensitive payroll information. The Payroll Specialist will work throughout the year, totaling 260 workdays, and must be prepared to adapt to varying hours as needed. In this role, the Payroll Specialist will manage the workflow to ensure that all payroll transactions are processed accurately and in a timely manner. This includes reconciling payroll before transmission, validating confirmed reports, and understanding the proper taxation of employer-paid benefits. The specialist will also be responsible for processing garnishment calculations, executing time and attendance processing, and ensuring compliance with unclaimed property payroll checks. Additionally, the role involves preparing and filing all necessary federal, state, IMRF, and TRS reports, as well as developing ad hoc financial and operational reporting as needed. The ideal candidate will possess strong interpersonal communication skills, both verbal and written, and will be able to communicate effectively with various levels of management. Decision-making, problem-solving, and analytical skills are essential, along with organizational and multi-tasking abilities. The position requires a working knowledge of payroll best practices, federal and state regulations, and proficiency in software applications such as Frontline and IVisions. The Payroll Specialist must also demonstrate a strong work ethic, professionalism, and the ability to handle confidential material sensitively.

Responsibilities

  • Perform daily payroll department operations.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Reconcile payroll before transmission and validate confirmed reports.
  • Understand proper taxation of employer-paid benefits.
  • Process correct garnishment calculations and compliance.
  • Execute time and attendance processing and interface with payroll.
  • Perform compliances for unclaimed property payroll checks.
  • Process accurate and timely year-end reporting when necessary (W-2, etc).
  • Develop ad hoc financial and operational reporting as needed.
  • Process manual check and relocation metrics.
  • Prepare/file and maintain all federal, state, IMRF, and TRS reports.
  • Perform other duties as assigned.

Requirements

  • Associate's Degree or 60 college credit hours preferred.
  • 4-6 years of experience in payroll processing.
  • Working knowledge of payroll best practices.
  • Knowledge of federal and state regulations.
  • Strong PC skills including proficiency in Excel.
  • Strong work ethic and team player.
  • A high degree of professionalism.
  • Ability to deal sensitively with confidential material.
  • Strong interpersonal (verbal and written) communication skills.
  • Ability to communicate with various levels of management.
  • Decision-making, problem-solving, and analytical skills.
