About the position

University Medical Partners (UMP) is seeking a Payroll Specialist to join our Management Services Team. This role is crucial in managing clinician payroll tasks, which include payroll processing, record-keeping, payroll auditing, and payroll tax support, all while ensuring data security and confidentiality. The Payroll Specialist will report directly to the Manager of Finance & Clinician Compensation and will play a key role in supporting compensation procedures, including quarterly reconciliations and audits. The successful candidate will work closely with the Finance & Clinician Compensation Analyst to ensure that clinician salaries, wages, bonuses, and deductions are accurately uploaded and processed in a timely manner. Compliance with payroll laws and regulations at local, state, and federal levels is essential, as is maintaining accurate payroll records, including employee information, hours worked, and benefits. In addition to processing payroll, the Payroll Specialist will address payroll-related inquiries from clinicians, resolve discrepancies, and prepare payroll reports for management and other departments. The role also involves assisting with payroll tax calculations, filings, and payments, as well as staying updated on changes in payroll regulations to implement necessary updates in payroll processes. The Payroll Specialist will generate reports from various systems to support decision-making and collaborate with HR and finance departments to ensure seamless coordination of payroll activities. This position also offers opportunities for process improvement initiatives to enhance payroll operations and efficiency, while maintaining confidentiality and data security of payroll information. The ideal candidate will demonstrate subject matter expertise in payroll processes, possess strong communication skills, and be able to work effectively in a team environment. Attention to detail, time management, and the ability to manage multiple tasks efficiently are critical for success in this role. The Payroll Specialist will also be responsible for maintaining an up-to-date process document or guidebook on assigned functions and services, contributing to the overall effectiveness of the payroll department.

Responsibilities

  • Manage clinician payroll tasks including payroll processing, record-keeping, and payroll auditing.
  • Support compensation procedures such as quarterly reconciliations and audits.
  • Ensure compliance with payroll laws and regulations at local, state, and federal levels.
  • Maintain accurate payroll records including employee information, hours worked, and benefits.
  • Address payroll-related inquiries from clinicians and resolve discrepancies promptly.
  • Prepare and distribute payroll reports to management and relevant departments.
  • Assist with payroll tax calculations, filings, and payments as needed.
  • Stay updated on changes in payroll regulations and implement necessary updates in payroll processes.
  • Generate reports from single or multiple systems to support decision-making.
  • Collaborate with HR and finance departments to ensure seamless coordination of payroll activities.
  • Contribute to process improvement initiatives to streamline payroll operations and enhance efficiency.
  • Maintain confidentiality and data security of payroll information.
  • Maintain an up-to-date process document/guidebook on assigned functions/services.

Requirements

  • Two (2) years of work experience as a payroll specialist or in an HR/compensation-related role.
  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred but not required.
  • Strong Excel skills including experience with advanced formulas and managing large data sets.
  • Proficiency in Microsoft Word, PowerPoint, and other Microsoft Office software.
  • High level of verbal and written communication skills with a strong capacity for detail.
  • Strong organizational, planning, and project management skills to manage multiple priorities and meet required deadlines.
  • Strong interpersonal skills necessary to develop and maintain collaborative relationships with management and physicians.
  • Proven ability to work independently to produce accurate work of the highest quality.
  • Experience with budgeting, accounting, payroll, AP/AR, and financial reporting is preferred.
  • Working knowledge of physician practice and/or medical group experience desirable, but not required.
  • Experience with physician employment contracting/compensation modeling desirable, but not required.
  • Experience with Rippling payroll software and QuickBooks online is strongly preferred but not required.
