About the position

Spherion Staffing is seeking an experienced Payroll Specialist to join our team in the Detroit Lakes, MN area. In this role, you will be responsible for managing all aspects of the payroll process, which includes processing employee data, calculating wages, and ensuring the timely and accurate disbursement of salaries. You will work closely with various departments to gather necessary information and address payroll-related queries, ensuring compliance with federal, state, and local payroll laws. Your expertise will contribute to the overall efficiency and accuracy of payroll operations, making you a vital part of our organization. As a Payroll Specialist, you will serve as the primary contact for payroll-related questions from employees, ensuring that all inquiries are handled promptly and effectively. You will gather all payroll-related data, review and process payroll for all domestic subsidiaries in a timely and accurate manner. Additionally, you will manage PTO and EIB accruals, oversee 401k enrollments and changes, and handle wage adjustments and deductions with outside agencies. Your responsibilities will also include preparing bi-weekly, quarterly, and annual payroll balancing, tax tie-outs, and reporting, as well as processing and transmitting annual W-2 Statements. Collaboration with the Human Resources department is essential to ensure compliance with payroll, wage, and hour laws while providing excellent employee service. You will contribute to audits by providing accurate payroll records and documentation, continuously evaluate and improve payroll processes, and lead the development of payroll administration for future acquisitions. Furthermore, you will be responsible for processing all required prevailing wage and certified payroll documentation, administering worker’s compensation and unemployment insurance programs, and serving as a subject matter expert on BI payroll reporting. Your role will also involve preparing health insurance liability tracking, assisting with the analysis of employee benefit programs, and identifying opportunities for process improvements and automation. You will independently solve moderately complex issues and assist with financial statement preparation during the month-end process, including account reconciliations and journal entries. This position requires a proactive approach to assist the Controller and CFO with special projects as needed.

Responsibilities

  • Serve as primary contact for payroll related questions from employees
  • Gather all payroll related data, review and process payroll timely and accurately for all domestic subsidiaries
  • Ensure PTO and EIB accruals are accurate
  • Manage and ensure all 401k enrollments and changes are processed accurately and timely
  • Manage wage adjustments/deductions with outside agencies
  • Prepare bi-weekly, quarterly, and annual payroll balancing, tax tie-outs, and reporting
  • Process and transmit annual W-2 Statements for all domestic subsidiaries
  • Work closely with Human Resources department to ensure compliance with federal, state, and local payroll, wage, and hour laws and excellent employee service
  • Contribute to audits by providing accurate payroll records and documentation to auditors
  • Continuously evaluate and improve processes and ensure proper internal controls
  • Lead the process in developing payroll administration for future acquisitions
  • Lead annual payroll related audits, including 401k annual compliance and workers compensation audits
  • Process all required prevailing wage and certified payroll documentation to support MCC Controls, LLC contracts and legal DIR requirements
  • Process all employment wage verifications
  • Administer the worker’s compensation and unemployment insurance programs, including updating rates in payroll software
  • Serve as a subject matter expert on BI payroll reporting and report writing to create and provide reports as requested or required for all domestic subsidiaries
  • Prepare the health insurance liability tracking, reporting, and recording activity
  • Assist with recording and analysis of employee benefit programs
  • Assist with addition of acquired employees to determine correct general ledger structure
  • Identify opportunities for process improvements and automation and drive the implementation of solutions
  • Independently solve moderately complex issues with minimal supervision, while escalating more complex issues
  • Process all general ledger entries related to payroll as well as account reconciliations for payroll related accounts
  • Assist with financial statement preparation during month end process including account reconciliations, journal entries, and financial review beyond payroll related activity
  • Assist in the budgeting and analysis of personnel expense
  • Assist Controller and CFO with special projects

Requirements

  • 4-year degree preferred
  • Experience with payroll required
  • AP experience preferred
