About the position

The Payroll Specialist at Diamond Animal Health is responsible for managing payroll actions across multiple states while collaborating with accounting, payroll, and HR teams. This role emphasizes accuracy and timeliness in payroll processing, ensuring compliance with federal and state regulations, and providing exceptional support to employees regarding payroll inquiries. The position also involves handling tax matters, maintaining payroll records, and facilitating audits.

Responsibilities

  • Administer and execute the biweekly payroll processing for all employees across multiple states, ensuring accuracy and timeliness.
  • Generate and distribute payroll reports, including earnings, deductions, taxes, and other reports as required by senior leadership and Federal/State requirements.
  • Serve as a key point of contact for payroll-related inquiries, resolving issues and discrepancies promptly and professionally.
  • Prepare and submit payroll tax filings, including quarterly and annual returns, ensuring timely payment of payroll taxes.
  • Maintain accurate payroll records, including employee information, time and attendance data, payroll transactions, and data changes.
  • Responsible for system build and framework for general processes and annual events.
  • Identify data needs and opportunities to streamline or automate payroll processes.
  • Assist with payroll, 401k, and workers compensation audits.
  • Ensure appropriate employee FLSA compliance and correct employee status.
  • Support the facilitation of the registration of the business into new states for withholding and unemployment taxes as the business expands.
  • Process verifications of employment, ensuring timeliness of completion.
  • Ensure payroll procedures comply with federal, state, and local regulations.
  • Keep up to date with changes in payroll laws and regulations.

Requirements

  • Bachelor's degree in Human Resources, Business, Finance or related field, or equivalent combination of related experience with High School/GED.
  • Minimum of 3-5 years' experience in payroll processing for a multi-state organization.
  • In-depth knowledge of payroll principles, tax laws, practices, and procedures.
  • Familiarity with payroll software systems, experience with UKG highly preferred.
  • Strong verbal and written communication skills.
  • Collaborative work style with a high team orientation.
  • Strong attention to detail and compliance orientation.
  • Ability to prioritize and manage time effectively.
  • Self-directed with the ability to proactively ask questions and surface issues.
