About the position

The Payroll Specialist is responsible for multi-state payroll administration and processing, ensuring accurate and timely payroll for employees while maintaining high levels of customer service and confidentiality. This role involves coordinating with various departments to gather necessary information for payroll processing and resolving employee payroll issues.

Responsibilities

  • Coordinate with various company departments and locations to obtain information required to process payrolls and resolve employee payroll issues.
  • Ensure proper processing of payroll deductions.
  • Post and close payroll timely.
  • Process state mandated final pay.
  • Process and maintain interrogatory requests, withholding orders, wage attachments, and garnishment deductions.
  • Create and balance third party payroll related files, including taxes, child support, and garnishments.
  • Validate file confirmation receipts and resolve any file issues.
  • Assist with all payroll related general ledger transactions, including creating payroll GL files and account analysis for accuracy.
  • Support reconciliation of payroll to the general ledger and banking statements.
  • Maintain and balance payroll wage and tax recaps, including analysis for accuracy.
  • Assist with recording and reporting employee fringe benefits.
  • Monitor unclaimed property and perform required communication for resolution.
  • Provide subject matter expertise with payroll projects.
  • Maintain desk procedures and adhere to all internal control documentation.
  • Interact with employees from all levels of the organization.
  • Understand and practice appropriate safety procedures.

Requirements

  • 3-5 years of experience in related field is preferred.
  • Excellent proficiency in all Microsoft Office Suite Products.
  • Ability to effectively manage time, prioritize, and work under strict deadlines.
  • Efficient organizational skills and strong attention to detail.
  • Effective problem-solving skills with a customer service orientation.
  • GL and accounting knowledge relating to payroll posting (expense, liabilities, accruals).
  • Payroll Software - UKG Pro experience required.
  • Financial Software - SAP experience preferred.
  • SFTP software - FileZilla experience preferred.
  • High School Diploma with applicable experience or some accounting/finance higher education required.

Nice-to-haves

  • Associates degree or equivalent is preferred.
  • FPC Certification preferred.
