About the position

The Payroll Specialist plays a crucial role in administering the payroll function for our organization, directly reporting to the Manager of Payroll. This position is designed for individuals who are eager to learn and adapt to new technologies, ensuring that payroll processes are executed with a high level of accuracy. The Payroll Specialist will be responsible for managing payroll data related to our bi-weekly payroll and weekly temporary associate payroll, which includes handling new hires, terminations, job changes, and other payroll-related adjustments. The role requires a keen attention to detail and the ability to reconcile payroll reports to ensure that all data transmitted to the payroll vendor is accurate and timely. In addition to general payroll duties, the Payroll Specialist will also engage in administrative tasks that involve applying knowledge of company policies to assist internal customers with non-routine requests. This includes providing guidance on payroll processes, researching entries, and recommending procedural changes. The role also involves acting as an escalation point for complex colleague issues and responding to vendor and employee verification requests. Responsibilities

  • Collect, verify, and store company payroll data related to bi-weekly and weekly payrolls in an organized manner.
  • Maintain updates and inputs required information in the timekeeping system.
  • Review own data entry and that of payroll peers to ensure data accuracy.
  • Reconcile separate files to payroll reports before payroll is committed to run.
  • Prepare and reconcile pre/post payroll reports to ensure accuracy of payroll data transmitted to the payroll vendor.
  • Compute wages, taxes, and deductions as needed.
  • Set up new state and local tax codes and assist with accurate filings.
  • Interface regularly with third-party payroll, tax, and verification of employment vendors.
  • Collaborate with team members in cross-functional payroll learning for coverage of payroll processing responsibilities.
  • Support monthly, quarterly, and yearly audits and coordinate month-end processing of reports, accruals, and reconciliations.
  • Provide payroll information by answering questions and requests.
  • Comply with federal, state, and local legal requirements by studying existing and new legislation.
  • Maintain colleague confidence and protect payroll operations by keeping information confidential.
  • Apply knowledge of company policies to provide guidance to internal customers with non-routine requests.
  • Provide continuous improvement of internal processes to deliver high-quality service to internal customers.
  • Act as an escalation point for resolving complex colleague issues.
  • Respond to vendor and employee verification of employment requests.

Requirements

  • Associate's degree in Accounting or Finance or related program preferred.
  • 2-4 years of related and relevant work experience.
  • Experience with UltiPro Payroll and/or Kronos timekeeping systems.
  • Active and knowledgeable Excel user, including VLOOKUP, pivot tables, formulas, and functions.
  • Self-sufficient with the ability to follow direction and think critically to problem solve.
  • Working knowledge of federal and state tax or other regulatory changes impacting payroll.
  • Ability to maintain confidentiality.
