About the position

The Payroll Specialist at Ntiva is responsible for processing payroll, ensuring compliance with relevant laws and regulations, and providing excellent support to employees. This role requires strong attention to detail, excellent organizational skills, and the ability to handle sensitive information with confidentiality. The position is remote and operates Monday to Friday, 8 am to 5 pm CST.

Responsibilities

  • Process semi-monthly payroll for all employees, ensuring accuracy and compliance with company policies and legal requirements.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Maintain and update employee payroll records, including new hires, terminations, and changes in status into the payroll system (UKG).
  • Calculate and process deductions, benefits, and other payroll-related adjustments.
  • Manage deductions for taxes, benefits, and other withholdings.
  • Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Determine payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments.
  • Communicate payroll deductions to retirement administrators for 401(k) plans and other pre-taxation savings plans.
  • Coordinate with Finance Team to assist with monthly, quarterly, or year-end calculations of commissions/bonuses and other salary-based compensation.
  • Respond to employee inquiries regarding payroll issues and resolve discrepancies in a timely manner.
  • Participate in audits and provide necessary documentation as required.
  • Assist with year-end payroll processes, including W-2 review and analysis.
  • Review and respond to payroll tax notices for compliance.
  • Collaborate with payroll tax agencies to maintain employer accounts.
  • Continuously seek opportunities to improve payroll processes and systems.

Requirements

  • High school diploma required; associate's degree preferred.
  • 3 years of previous payroll experience required.
  • Proficiency in payroll software (e.g., UKG, Paychex).
  • Proficiency in Microsoft Excel, including pivot tables, VLOOKUP, etc.
  • Strong knowledge of accounting principles and payroll laws and regulations.
  • Excellent attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Ability to handle sensitive information with confidentiality.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Excellent data entry skills.
  • Deadline-driven.
  • Flexibility and adaptability.

Nice-to-haves

  • Bachelor's degree in accounting, Finance, Business Administration, or a related field.
  • Fundamental Payroll Certification (FPC) or the Certified Payroll Professional (CPP) a plus.
