About the position

The Payroll Specialist position at a Government Contracting Company in Dunn, NC is a paraprofessional technical role that requires a solid understanding of fiscal operations, particularly in payroll collection, validation, and processing across multiple standalone locations. The successful candidate will be responsible for managing various aspects of payroll, including the accrual of holiday, sick, and vacation hours, as well as the withholding and submission of wage garnishments, 401(k) contributions, and other defined benefits. This role demands a high level of accuracy in data entry and reconciliation, ensuring compliance with payroll tax payments and general ledger entries. In this position, the Payroll Specialist will process all aspects of a multi-state, multi-EIN payroll accurately and in a timely manner. This includes auditing and reconciling payroll data while adhering to applicable laws, policies, and procedures. The role involves collecting and inputting timekeeping data from various sources into ADP, reviewing time and payroll records for compliance with the Fair Labor Standards Act (FLSA) and other labor laws, and collaborating closely with Human Resources, employees, and Project Managers to resolve payroll-related issues. Additionally, the Payroll Specialist will be responsible for processing, maintaining, and submitting withholdings to agencies and vendors in a timely manner, assisting with monthly and quarterly payroll account reconciliations, and responding promptly to inquiries from both external and internal customers, including taxing authorities. The role also includes providing customer service to employees regarding pay, benefits, and taxes, maintaining confidentiality with sensitive payroll information, and developing a deep understanding of payroll data to create ad-hoc reports as needed. The position requires generating and distributing over 700 W2 forms annually and providing accounting and processing support to other business areas such as Management, Accounts Payable, and Accounts Receivable.

Responsibilities

  • Processing all aspects of a multi-state, multi-EIN payroll accurately and timely, including auditing and reconciling payroll data.
  • Collecting and inputting timekeeping data from various sources into ADP.
  • Reviewing time and payroll records for compliance with FLSA and other applicable labor laws.
  • Working closely with Human Resources, employees, and Project Managers to research and resolve payroll issues.
  • Processing, maintaining, and submitting withholdings to agencies and vendors timely.
  • Assisting with monthly and quarterly payroll account reconciliations.
  • Responding promptly to inquiries for information from external and internal customers including taxing authorities.
  • Providing customer service to employees regarding pay, benefits, and taxes.
  • Maintaining confidentiality with sensitive payroll information.
  • Developing an in-depth understanding of payroll data to create ad-hoc reports on demand.
  • Compiling and validating the accuracy of payroll data for business partners and stakeholders.
  • Generating and distributing 700+ W2 forms annually, including reporting files to the Social Security Administration.
  • Providing accounting and processing support to other business areas including Management, Accounts Payable, and Accounts Receivable.
  • Completing special projects and other duties as assigned.

Requirements

  • Considerable knowledge of payroll procedures including payroll taxes and other deductions.
  • Considerable knowledge of accounting methods, procedures, and practices.
  • Ability to understand, interpret, and apply laws and regulations pertaining to financial records.
  • Ability to present financial information clearly and concisely in oral and written form.
  • Ability to research, identify, and resolve discrepancies in accounting transactions.
  • Ability to verify accounting documents and forms for accuracy and completeness.
  • Knowledge of a variety of technology, financial systems, and software packages to create and maintain financial data.
  • Proficiency in MS Office Suite (Word, Excel, and Outlook) is required.
  • ADP payroll experience is preferred.
  • Experience with ABRA/Sage or comparable accounting software is preferred.

Nice-to-haves
