About the position

The Payroll Specialist position at the Boston Fire Department involves managing payroll-related tasks under the supervision of the Director of Payroll. The role requires strict confidentiality and attention to detail in handling payroll data for department personnel, ensuring accurate and timely processing of payroll transactions.

Responsibilities

  • Data entry of daily Time and Labor for Fire Department Payroll.
  • Daily data entry of time and labor via the Tour Report system for BFD personnel.
  • Data entry of daily firefighter detail-related payroll transactions.
  • Data entry of daily vendor detail-related payroll transactions.
  • Provides weekly payroll reports.
  • Communication with all personnel to validate missing and inaccurate data on Tour Reports.
  • Provides data and backup for legal requests from attorneys or requesting subpoenas.
  • Provides Wage Verification.
  • Coordinates Workmens' Compensation payments with COB, OHR, and Workers' Compensation.
  • Provides assistance to personnel with questions concerning dental, health, life insurance, retirement, and deferred compensation.
  • Understanding and familiarity with union contracts.
  • Performs corrections and/or adjustments in the time and labor payroll system (HCM) based on the Telestaff tour report system.
  • Runs and reviews daily payroll reports and queries for completion and accuracy.
  • Maintains and updates individual files on all employees at BFD.
  • Verifies dates and amounts of salary for each of the above categories from file to rates in PeopleSoft.
  • Maintains weekly files for the proper sorting and distribution of payroll checks, general filing, and other related duties.
  • Provides assistance and instructions to employees with questions relating to payroll issues, such as tax forms, direct deposit, changes in deductions, and garnishments.
  • Covers additional personnel during co-workers' absences.
  • Provides support on special projects as deemed appropriate.
  • Performs related duties as required.

Requirements

  • At least four (4) years of full-time or equivalent part-time paid professional experience in administrative office work, including payroll and accounting.
  • High School Diploma or equivalent preferred.
  • Experience in Data entry, Microsoft Office, and Google Suite is strongly preferred.
  • Knowledge of Peoplesoft HCM & Financials, as well as Kronos Timekeeper, is preferred.
  • Willingness to initiate improvement and expansion of existing systems.
  • Strong interpersonal skills and willingness to work as part of a team.
  • Excellent oral and written communication skills.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Highly organized with a strong attention to detail and the ability to multitask, establish priorities, and meet deadlines.

Nice-to-haves

  • Experience with payroll systems and software.
  • Familiarity with union contracts and regulations.
