About the position

As a Payroll HR/Specialist at North Hills Country Club, you will play a critical role in managing payroll operations and HR functions. This full-time position is based in Manhasset, NY, and reports directly to the Controller. Your primary responsibilities will include processing payroll for a workforce of 50 to 185 employees, maintaining accurate payroll records, and ensuring compliance with relevant laws and regulations. You will be expected to confirm that job tasks are completed within the proper time frame and interact with Department Heads to ensure that payroll and employee benefits are distributed in a timely manner. In addition to payroll processing, you will manage various HR tasks such as employee onboarding, benefits administration, and maintaining employee records. Your duties will involve preparing payroll weekly, maintaining time and attendance records, and managing absences, leaves, vacation, and sick leave reports. You will also be responsible for preparing all payroll-related journal entries, maintaining accurate records of pay rates, and ensuring appropriate deductions for local, state, and federal taxes from gross pay. Furthermore, you will reconcile monthly insurance statements, process garnishments paperwork, and maintain 401(k) records. You will assist staff with information regarding anniversary dates, insurance, and 401(k) enrollment. Additionally, you will prepare weekly PTO reports, notify terminated employees about their COBRA rights, and ensure compliance with New York State training requirements. This position does not include any supervisory duties and is expected to work from Tuesday to Saturday.

Responsibilities

  • Prepares payroll weekly for 50-185 employees.
  • Maintains payroll records and coordinates new hire paperwork and employee benefits deductions.
  • Maintains time and attendance, absences, leaves, vacation, and sick leave reports.
  • Prepares all payroll-related journal entries.
  • Maintains accurate records of pay rates for all employees.
  • Deducts appropriate local, state, and federal taxes and other deductions from gross pay.
  • Reconciles monthly insurance statements, prepares journal entries, and forwards billing to accounts payable for payment.
  • Processes garnishments paperwork and updates employee files for payroll.
  • Calculates workers' compensation distribution and processes billings.
  • Maintains 401(k) records and prepares 401(k) spreadsheets and distributions.
  • Assists applicable staff with information about anniversary, insurance, and 401(k) enrollment dates.
  • Prepares weekly PTO reports.
  • Notifies terminated employees about COBRA rights and sends letters by certified mail within 14 days of termination.
  • Processes billing and maintains records for medical, dental, and group insurance coverage in a timely fashion.
  • Ensures New York State compliance training/requirements are completed within a proper timeframe.
  • Completes other appropriate assignments made by the controller.

Requirements

  • Payroll experience preferred.
  • 1 year of accounting experience preferred.
  • Ability to commute to Manhasset, NY 11030.
