About the position

The Payroll Specialist at Early Warning Services is responsible for the accurate and timely processing of bi-weekly payroll while ensuring compliance with company policies and regulatory requirements. This role involves collaboration with internal teams, employees, and external vendors, requiring a strong understanding of payroll processes and exceptional attention to detail.

Responsibilities

  • Process bi-weekly multistate payroll accurately and timely, generating related reports for stakeholder approval.
  • Conduct reviews to ensure accurate computation of pay and interpret company policies and government regulations affecting payroll and timekeeping processes.
  • Adhere to established timekeeping and accounting principles.
  • Review and finalize time sheets for payroll, ensuring completeness and addressing any issues with leaders.
  • Act as the primary customer service contact for employees regarding payroll and timesheet best practices.
  • Identify and resolve issues, providing recommendations to improve processes, efficiency, and accuracy.
  • Troubleshoot, retrieve, and assess information to resolve moderately complex questions and payroll discrepancies.
  • Effectively communicate and answer payroll-related questions and concerns, responding to internal/external audit inquiries.
  • Review employee changes affecting payroll such as location, tax withholding, direct deposit, and deduction elections.
  • Open and maintain state withholding and unemployment tax accounts as needed.
  • Research and support HR in unemployment claims inquiries.
  • Prepare off-cycle checks as necessary.
  • Collaborate with HR Benefits and Total Rewards teams during annual cycle processes such as open enrollment and merit cycles.
  • Support year-end processes including W-2 preparation and distribution.
  • Support system regression testing, enhancements, and general configuration setup.
  • Certify company compliance with federal and state regulations and guidelines.
  • Stay updated on payroll regulations and best practices.

Requirements

  • High school diploma or GED equivalent.
  • Minimum of two years professional payroll processing experience or related experience in accounting.
  • Strong data entry experience, including auditing and validating timekeeping to ensure payroll accuracy.
  • Strong attention to detail and organizational skills.
  • Ability to apply general mathematical concepts and calculate figures such as earnings, overtime, and percentages.
  • Ability to identify moderately complex problems and implement solutions.
  • Excellent communication, interpersonal, and customer service skills.

Nice-to-haves

  • Additional related education and/or work experience preferred.
  • Knowledge of Workday Payroll, Timesheets, or HCM is a plus.
  • Experience running regression testing on system enhancements and routine processes.
