About the position

Magnolia Health Systems is seeking a Human Resources Assistant to join our management office, where our primary goal is to provide exceptional support to our facilities, employees, and residents. This role is crucial in maintaining the integrity of our payroll and benefits administration while ensuring compliance with federal and state regulations. As a Human Resources Assistant, you will be responsible for maintaining personnel records for assigned facilities, processing onboarding packets, change forms, termination forms, and employee transfers. You will assist in implementing and enforcing all company policies and procedures, ensuring that all payroll-related tasks are completed accurately and on time. This includes reviewing timecards for accuracy before entering and processing payroll, as well as reporting as required by federal and state regulations, including Indiana New Hire Reporting, Social Security Verification, and tax reporting. Additionally, you will assist in administering and maintaining compensation, benefits, and company records, while also addressing salary complaints and notifying appropriate personnel of actions taken. Responsibilities

  • Maintains personnel records for assigned facilities.
  • Processes onboarding packets, change forms, termination forms, and employee transfers.
  • Assists in implementing and enforcing all company policies and procedures.
  • Reviews timecards for accuracy prior to entering and processing payroll.
  • Reports as required by federal and state regulations, including Indiana New Hire Reporting and Social Security Verification.
  • Assists in administering and maintaining compensation, benefits, and company records.
  • Reports salary complaints to appropriate management and notifies appropriate personnel of action taken.
  • Performs all other job duties as assigned by the Payroll Manager.

Requirements

  • High School diploma or equivalent required.
  • Degree in Accounting and/or business preferred.
  • One or more years' experience in a payroll support role preferred.
  • Good computer skills.
  • Strong time management and organizational skills.
  • Strong ethics and reliability.
  • Good conflict management and decision-making skills.
  • Solid understanding of employee relationships, staffing management, and payroll and benefits administration.
  • Basic mathematical skills for calculation of timecards.
  • Self-motivated with good problem-solving skills.
  • Willingness to learn and adapt to changes.
