The Multistate Payroll Specialist is a pivotal role within AIM Services, Inc., requiring a comprehensive understanding of payroll processing, reporting, and audits. In this position, the Payroll Specialist will be responsible for preparing and processing multistate payroll for both internal employees and vendors. This includes providing customer support for all payroll-related inquiries and ensuring accurate payroll processing through effective liaison between corporate and vendors. The role also involves reviewing and auditing payroll transactions weekly, processing ACH files, and managing Elysian deductions as assigned. Additionally, the specialist will monitor the payroll inbox, assist with annual reporting and audits, and update client master lists to ensure compliance and accuracy. The Payroll Specialist will also be tasked with calculating and updating PTO requests, bonuses, commissions, and retro pays, as well as running standard reports for audits and information purposes. Reporting and tracking payroll discrepancies, educating team members and clients about changes in processes and regulations, and assisting in the implementation of new systems and procedures are also key responsibilities. The role may require performing other duties as assigned, making adaptability and a willingness to take on varied tasks important traits for candidates.

Responsibilities

• Prepare and process a multistate payroll for internal employees and vendors.
• Provide customer support for all payroll-related issues regarding employees and vendors.
• Act as a liaison between corporate and vendors to ensure an accurate payroll process.
• Review and audit all payroll transactions weekly.
• Process ACH files as assigned.
• Process Elysian deductions as assigned.
• Monitor the payroll inbox.
• Assist with preparing annual reporting and audits, including year-end payroll processing.
• Update client master list, credentials, and documentation to ensure accessibility, accuracy, and compliance.
• Calculate and update PTO requests.
• Calculate and update bonuses, commissions, and retro pays.
• Run standard weekly and monthly reports for audits and informational purposes.
• Report and track payroll discrepancies such as overpayments and late payments.
• Assist in educating team and clients about changes in processes, procedures, federal and state regulations, and planning topics.
• Assist in the implementation of new systems, processes, and procedures.
• Perform other duties as assigned.

Requirements

• Associate degree in Accounting, Business, or related work experience.
• 3 years of experience in multi-state payroll processing.
• Working knowledge in Great Plains and other VMS tools.
• Ability to learn and use payroll systems and other Microsoft applications.
• Detail-oriented with a high degree of accuracy.
• Effective communication skills, both written and spoken, with the ability to explain complicated concepts to clients and team members.
• Ability to prioritize tasks, work under pressure, and meet deadlines.
• Ability to be a team player and communicate effectively with others.
