About the position

The Payroll Specialist is responsible for administering all aspects of payroll for the US, Canada, Philippines, and potentially other global payrolls, which may vary in cycles from weekly, semi-monthly, and monthly. This role requires ensuring accurate and timely payroll processing, compliance with federal and state regulations, and maintaining detailed payroll records. The Payroll Specialist must possess a strong understanding of payroll systems, demonstrate excellent attention to detail, and handle sensitive information with confidentiality. The position involves creating and generating reports for distribution according to the payroll schedule and assisting the Payroll Manager in coordinating payroll responsibilities through effective problem-solving procedures. In this role, the Payroll Specialist will work closely with the Payroll Manager and vendor partners to set up earnings, deductions, taxes, and ensure accuracy and timeliness with data transfers to vendors. Regular audits of workflows, processes, and documents will be necessary to determine the proper controls in place. The specialist will summarize beneficial improvements and potential changes, making recommendations to the Payroll Manager, and overseeing the implementation of approved ideas, including documenting procedures and tracking results. Customer service is a key component of this role, as the Payroll Specialist will address payroll-related inquiries and communicate effectively with all levels of personnel. Responsibilities also include controlling the processing of all payroll data, auditing and balancing completed payrolls prior to distribution, maintaining accurate summaries of payroll reports, and ensuring adherence to company policies. The specialist will also manage changes to time tracking, load attendance records into the payroll system, and establish court-ordered deductions for processing. Compliance with federal, state, and local payroll laws and best practices is essential, as is maintaining accurate records to meet jurisdictional requirements. The Payroll Specialist will assist the Payroll Manager and team members as needed.

Responsibilities

  • Work with Payroll Manager and vendor partners to set up earnings, deductions, taxes, etc.
  • Ensure accuracy and timeliness with data transfers to vendors.
  • Audit all workflows, processes, and documents regularly to determine necessary controls are in place.
  • Summarize beneficial improvements and potential changes and make recommendations to the Payroll Manager.
  • Oversee the implementation of new ideas once approved, including documenting procedures and tracking results.
  • Provide customer service for all payroll-related inquiries while communicating effectively with all levels of people.
  • Control processing of all payroll data including termination and severance payments.
  • Audit and balance completed payroll prior to distribution of pay notifications.
  • Maintain accurate summaries of all payroll reports.
  • Audit records for accuracy and ensure adherence to company policies.
  • Maintain and administer all changes to time tracking according to policy requirements.
  • Load records of attendance into payroll system for processing of actual payroll run.
  • Enter all adjustments to the system as delivered by administrative staff and management.
  • Establish and maintain all court-ordered deductions such as garnishments, child support, and tax levies.
  • Provide information to other areas by creating and generating specific reports from time & attendance and payroll systems.
  • Ensure compliance with federal, state, and local payroll laws and best practices.
  • Respond to payroll-related inquiries and resolve discrepancies while providing excellent customer service.
  • Request payments for payroll funds after submission where applicable.
  • Process manual payment requests or off-cycle payrolls as required.
  • Work alongside different departments and teams within the company as needed.

Requirements

  • 5+ years' experience as a US multi-state payroll processor required.
  • 3+ years' experience as a Canadian payroll administrator preferred.
  • 1+ years' experience with ADP Workforce Now required.
  • High School Education or GED required.
  • FPC preferred but not required if experience is met.
  • Good organizational, analytical, and interpersonal/customer relations skills required.
  • Extensive use of computers, software packages, and calculators is necessary.
  • Self-motivated with the ability to work under minimal supervision.
  • Clear and concise verbal and written communication skills are essential.
  • Excellent time management skills with strong attention to detail are required.
  • Ability to interact with all levels of associates within the company.
