About the position

The Payroll Specialist will play a crucial role in the Human Resources department, reporting directly to the Payroll Supervisor. This position is essential for ensuring the accuracy and timeliness of payroll processing for both Non-Exempt and Exempt employees. The Payroll Specialist will be responsible for auditing timecards, addressing discrepancies, and ensuring that all payroll deadlines are met. This role requires strong communication skills and attention to detail, as the Payroll Specialist will work closely with the Payroll Team to maintain efficient payroll operations in a fast-paced environment. In this position, the Payroll Specialist will review timesheets on a weekly basis, send communications regarding necessary corrections, and approve expense reports for reimbursement. They will also review new hire and position changes to ensure proper payroll setup, process final pay for terminated employees, and assist with periodic payroll audits. The role involves reviewing payroll documentation for accuracy, making adjustments to garnishments, verifying employment, and updating employee tax profiles. Additionally, the Payroll Specialist will communicate with the payroll service to resolve any system issues and assist with the development of projects, updating Standard Operating Procedures (SOPs) and manuals as needed. The ideal candidate will possess proven analytical and problem-solving skills, superior customer service abilities, and the capacity to work collaboratively within a team. They must be organized, able to manage daily tasks effectively, and meet operational requirements within defined timelines. The Payroll Specialist will be expected to perform their duties confidently and accurately in a detail-oriented environment, supporting management decisions and contributing to the overall success of the payroll function.

Responsibilities

  • Review timesheets for both Non-Exempt and Exempt employees on a weekly basis
  • Send e-communication regarding necessary timesheet corrections, updates, and submission
  • Review and approve expense reports for reimbursement
  • Review new hire and position changes to ensure payroll setup is correct
  • Process final pay for terminated employees
  • Assist with periodic payroll audits
  • Review payroll documentation for accuracy through audit reports and make necessary adjustments to garnishments, verification of employments, and 401k changes
  • Update employee tax profiles
  • Communicate with payroll service to resolve system issues
  • Assist with development projects and update SOPs and manuals
  • Set up data sets (earnings and deduction import files) for payroll transactions

Requirements

  • Proven analytical and problem-solving skills
  • Superior customer service, communication, and interpersonal skills (written and oral)
  • Ability to work in a team-oriented, collaborative environment
  • Strong ability to organize daily tasks and work within defined timelines to meet operational requirements
  • Proven ability to perform confidently, accurately, professionally, and thoroughly in a fast-paced detail-oriented environment while supporting all management decisions
  • Multi-state experience and at least one complex state payroll knowledge
  • Knowledge of external audits and familiarity with internal audits
  • Intermediate knowledge of Microsoft Office 365
  • Intermediate knowledge of Excel, including the use of pivot tables and functions to run audits or obtain desired data
  • Confidence in learning new programs and acquiring new skills
