About the position

The Payroll Specialist at Ice Miller LLP is a crucial role responsible for maintaining and processing all aspects of payroll using specialized software and established procedures. This position requires a high level of confidentiality and the ability to work efficiently in a fast-paced environment, particularly given the time-sensitive nature of payroll processing. The Payroll Specialist will collaborate closely with the Payroll Manager to ensure timely and accurate payroll coverage for all requests. Key responsibilities include the semi-monthly processing of payroll for associates and staff, which involves making necessary journal entries, as well as the monthly processing of partner distributions. The Payroll Specialist will also be responsible for updating payroll records by entering and reconciling changes received from the Human Resources (HR) team on a daily basis. Additionally, the role involves maintaining the functionality of electronic timesheet software, assisting with W-2 reconciliation and distribution, and balancing payroll withholding accounts monthly. The Payroll Specialist will also be tasked with maintaining payroll operations by adhering to policies and procedures, reporting necessary changes, and proactively creating efficiencies. This includes managing the firm's shared payroll email account, maintaining documentation of processing responsibilities and deadlines, and ensuring compliance with state payroll requirements. The role also encompasses year-end payroll audits and tax compliance reporting, as well as creating and managing payroll reports and projects assigned by the Accounting Director or Chief Financial Officer. Strong communication skills are essential, as the Payroll Specialist will provide assistance and training to employees regarding payroll software and must effectively interact with a diverse group of individuals across the organization.

Responsibilities

  • Maintain all aspects of the payroll processing software including reporting.
  • Semi-monthly processing of associate and staff payroll including journal entries.
  • Monthly processing of partner distribution including preparation of worksheets and journal entries.
  • Update payroll records by entering and reconciling changes received from the HR team on a daily basis.
  • Maintain proper functioning and review entries posted in electronic timesheet software.
  • Assist with the firm's W-2 reconciling, processing, and distribution requirements.
  • Balance payroll withholding accounts monthly and collaborate with the HR team to resolve discrepancies.
  • Initiate correcting journal entries as needed.
  • Maintain payroll operations by following policies and procedures, reporting needed changes, and creating efficiencies.
  • Maintain the firm's shared email account titled PAYROLL.
  • Maintain documentation of daily, weekly, monthly, and annual processing responsibilities and deadlines.
  • Strong understanding of state payroll requirements and registration processes.
  • Responsible for year-end payroll related audit and tax compliance reporting.
  • Create and maintain payroll reports and manage projects as assigned by Accounting Director or Chief Financial Officer.
  • Provide assistance and/or training to employees regarding payroll software such as E-time.
  • Solve non-routine problems utilizing analysis and extensive work experience.

Requirements

  • High School diploma required.
  • Higher education, bachelor or associate degree in Accounting field preferred.
  • Previous payroll experience required.
  • ADP Workforce Now knowledge preferred.
  • Strong understanding of general Accounting principles.
  • Previous experience in the legal industry a plus.
  • Proficient in Microsoft Office products.
  • Ability to multi-task and effectively manage time.
  • Strong attention to detail.
  • Ability to work independently with limited supervision.
  • Strong interpersonal skills necessary to deal courteously and effectively with a diverse group of people.
