About the position

The Payroll Specialist role at the Native American Development Corporation is responsible for ensuring timely and accurate payroll processing for employees across various entities, in compliance with state and federal regulations. This position involves managing payroll records, processing payroll for multiple states, and assisting with financial audits and compliance. The role requires strong attention to detail and the ability to handle complex payroll-related tasks efficiently.

Responsibilities

  • Process paperwork for new employees and enter employee information into the payroll system.
  • Record employee information such as exemptions, transfers, and status changes to maintain payroll records.
  • Verify hours worked and pay adjustments, posting information onto designated records.
  • Track leave time such as vacation, sickness, and FMLA for employees in accordance with Human Resources.
  • Issue and record adjustments to pay related to previous errors or retroactive increases.
  • Compute wages and deductions and enter data into computers.
  • Review time sheets and wage computations to detect and reconcile payroll discrepancies.
  • Process payroll for multiple states and entities.
  • Assist with setting up multiple state workers comp and unemployment accounts.
  • Issue employee direct deposits and paychecks, as well as statements of earnings and deductions.
  • Prepare and submit all required state, federal, and other payroll liability payments and reports, including W2 filings.
  • Maintain the integrity and accuracy of the payroll processing system setup based on current regulations.
  • Assist in developing and maintaining a paperless payroll processing system.
  • Prepare and reconcile all required payroll journal entries and reconciliations.
  • Assist in handling 401k plan matches and routine financial inquiries.
  • Assist in the preparation of financial audit documents.
  • Ensure accurate recording and analysis of revenues and expenses.

Requirements

  • Associate Degree in Accounting preferred plus a minimum of two years of work experience directly related to accounting.
  • Experience working with American Indian populations is a plus.
  • At least one year of cash-handling experience, including reconciliation and preparation of daily deposits.
  • Strong working knowledge of NetSuite/QuickBooks accounting software and MS Office is required.
  • Previous experience with non-profit and grant-funded accounting is a plus.
  • Valid Montana State driver's license.
