About the position

The Payroll Specialist at Ferrero is a vital role responsible for the accurate and timely processing of payroll for both hourly and salaried employees at the Louisville, KY location. This position involves maintaining payroll reports and records, addressing employee inquiries related to payroll matters, and collaborating closely with the human resources team. The Payroll Specialist will manage payroll for over 300 employees in a fast-paced environment, ensuring compliance with critical deadlines and accuracy in payroll processing. In this role, the Payroll Specialist will be tasked with ensuring data completeness in the timekeeping system and ensuring that data is properly interfaced into the payroll system. This includes compiling, balancing, and ensuring compliance requirements are met for additional earnings submissions, time corrections, and rate overrides. The specialist will also review payroll reports to confirm that data is balanced with timekeeping and department submissions, identifying any discrepancies that need correction. The position requires providing support for both external and internal audits related to payroll items, as well as supporting payroll projects and process improvement initiatives. The Payroll Specialist will manage the work attendance monitoring system, which includes tracking absences, sickness, overtime, and vacations, and will be responsible for calculating and submitting payroll overrides related to approved and unapproved leaves of absence. Collaboration with HR and finance is essential to ensure proper accounting of payroll costs and compliance with tax and social security obligations. The Payroll Specialist will also facilitate strong customer service relationships with both external and internal personnel, answering employee questions and investigating discrepancies related to payroll. Additionally, the role involves maintaining accurate assignments and PTO accruals for new hires, transfers, and employees on leave of absence, processing employment verification of income, and training supervisors on payroll procedures.

Responsibilities

  • Ensure accurate and timely processing and recording of time and pay for payroll for 300+ employees.
  • Responsible for data completeness in the timekeeping system and proper interfacing into the payroll system.
  • Compile, balance, and ensure compliance requirements for additional earnings submissions, time corrections, and rate overrides.
  • Review payroll reports to confirm data is balanced with timekeeping and department submission reports.
  • Provide support for external and internal audits related to pay items.
  • Support payroll projects, process improvement initiatives, and other duties as assigned.
  • Manage work attendance monitoring system (absence & sickness, overtime, vacations, etc.) and related salary calculations.
  • Calculate and submit payroll overrides related to approved and unapproved leave of absence.
  • Cooperate with HR and finance to ensure proper accounting of payroll costs and fulfillment of tax and social security obligations.
  • Understand and apply company policy, corporate agreements, and state/government regulations affecting payroll procedures.
  • Facilitate strong customer service relationships with external/internal personnel and peers.
  • Answer employee questions, investigate and correct discrepancies related to payroll.
  • Research, analyze, and interpret multiple sources of payroll data to provide resolution for payroll inquiries.
  • Maintain accurate assignments and PTO accruals for new hire, transfer, and LOA employees.
  • Process employment verification of income for employees as approved.
  • Train supervisors on payroll procedures and processes.
  • Partner with HRBP for employee record changes impacting payroll.

Requirements

  • Associate's degree along with previous experience in a similar role preferred, or 4-7 years of relevant experience required.
  • Previous experience supporting over 100 employees and union facilities.
  • Strong organizational skills, communication skills, and attention to detail.
  • Strong math aptitude, Excel skills, and problem-solving skills.
  • Previous experience with large payroll systems such as UKG, KRONOS, and SAP.
  • Ability to manage conflicting priorities and workload pressure of strict deadlines.
  • Must be able to meet critical deadlines and adapt to circumstances beyond control.
  • Ability to handle sensitive and confidential information.
