About the position

The Payroll Specialist at Groundworks is responsible for managing payroll and accounting-related functions in a fast-paced, multi-site, and multi-state environment. This role involves processing payroll, ensuring compliance with payroll tax laws, and maintaining accurate payroll records while providing support to the accounting team and addressing employee inquiries regarding pay and benefits.

Responsibilities

  • Analyze commissions for field sales representatives
  • Assist and support the accounting team with financial, clerical, and administrative services
  • Assist with new client implementations and special projects as requested
  • Balance and maintain accounting schedules for payroll
  • Balance and pay all voluntary benefits for all locations
  • Certified payrolls manually and using 3rd party software
  • Communicate with Human Resources on all employee pay/benefit issues
  • Handle all payroll liens, garnishments, and child support and employee voluntary deductions as well as employee questions and concerns
  • Maintain discretion and professionalism with team members and clients
  • Maintain time and attendance
  • Perform payroll-related functions including but not limited to payroll processing, audits and maintenance
  • Prepare all reports for management and vendor audit as required
  • Prepare employment payroll verifications in writing
  • Prepare off-cycle payrolls and manual checks as necessary
  • Process payroll for multi-frequency Managed Services clients as scheduled
  • Process payroll transfers
  • Provide and balance the general ledger to accounting for all payrolls
  • Reconcile all payroll and related accounts and activities
  • Perform other duties as assigned

Requirements

  • Associate degree (A.A.) or equivalent, three to five years related payroll and accounting experience, or equivalent combination of education and experience
  • FPC/CPP Certification preferred
  • Knowledge of multi-state payroll tax laws
  • Knowledge of Canadian payroll laws preferred
  • Excellent math/accounting skills
  • Highly adaptable to many software/technologies. Knowledge of HCM systems or Workday payroll system a plus
  • Strong attention to detail
  • Ability to analyze and resolve problems through effective customer service interface and communication
  • Ability to deal effectively with a diversity of individuals at all organizational levels
  • Organized to handle schedule and changes expeditiously and work extended hours when necessary
  • Well-versed in payroll compliance, taxes and reporting
  • Experience with large corporate payroll processing that includes exposure to benefits and 401(k)
  • In-depth knowledge of Microsoft Excel, using formulas a must

Nice-to-haves

  • Knowledge of Canadian payroll laws preferred
  • Experience with HCM systems or Workday payroll system a plus
