About the position

Flagship Pioneering is seeking a Payroll Specialist to join our dynamic team in Cambridge, MA. In this role, you will be responsible for processing a semi-monthly payroll for over 500 employees, which includes both exempt and non-exempt staff. Your duties will involve collecting and reviewing timesheets for interns and Co-Ops, maintaining the company's payroll system, and regularly auditing the system for completeness. You will also be the point of contact for employee inquiries regarding paychecks, ensuring strict compliance with both company policies and regulatory payroll requirements. As a Payroll Specialist, you will process payroll for multiple companies, ensuring that the ADP system is updated with any employee changes. You will handle new hire information to guarantee that electronic onboarding is completed and that I-9 forms are processed in a timely manner. Additionally, you will manage the approval process for intern and Co-Op timesheets, process terminations, and ensure that final payments comply with state requirements. You will provide backup support to the Flagship Labs payroll team as needed, reconcile payroll liabilities each pay period, and create general ledger files while performing necessary updates throughout the year. Your role will also include generating ad-hoc payroll reports as requested by stakeholders, maintaining electronic employee files, auditing the payroll system quarterly to ensure alignment with HRIS and benefits systems, and preparing monthly benefit invoices for Labs and FSP.

Responsibilities

  • Process semi-monthly payroll for multiple companies
  • Ensure ADP system is up to date with employee changes
  • Process new hire information to ensure electronic onboarding is complete and I-9 is done timely
  • Collect timesheets for interns/co-ops managing the approval process
  • Process terminations and ensure final payments are completed in line with State requirements
  • Provide backup to Flagship Labs payroll team as needed
  • Reconcile differences in payroll liability each pay period
  • Create GL file each pay period and perform any updates needed throughout the year
  • Provide ad-hoc payroll reporting as requested by stakeholders
  • Maintain electronic employee files
  • Audit payroll system quarterly to ensure it is in line with the HRIS and Benefits systems
  • Prepare benefit invoices monthly for Labs and FSP

Requirements

  • Degree in accounting, business, or a related field is preferred
  • Minimum of 2 years' experience processing payroll for multiple companies
  • Knowledge of ADP WFN preferred
  • Strong organizational and time management skills
  • Experience processing multiple payrolls at the same time
  • Detail oriented and strong communication skills
