About the position

The Payroll Tax Manager at Akima, LLC is a pivotal role responsible for ensuring the company's compliance with all payroll-related local, state, federal, and other applicable tax laws and procedures. This position requires a seasoned professional with a strong background in payroll tax and accounting, overseeing a team of three or more subordinates. The manager will be tasked with the calculation and reporting of tax liabilities, addressing inquiries from employees and regulatory agencies, and conducting thorough research on laws and regulations pertaining to taxes and payroll withholding procedures. In this role, the Payroll Tax Manager will prepare various tax returns, including federal, state, occupational privilege, and local withholding tax returns. The manager will also be responsible for remitting tax payments to the appropriate jurisdictions, ensuring accurate reporting to minimize assessments, penalties, and interest. Additionally, the manager will prepare quarterly unemployment insurance returns and ensure timely contribution payments to unemployment insurance agencies. The position involves supporting payroll personnel on withholding tax matters, providing guidance on reciprocity agreements between states, and assisting with manual check entries and withholding tax calculations. The manager will review quarterly reports and amendments, coordinate with third-party vendors for filing returns, and prepare monthly journal entries. Furthermore, the manager will research local withholding tax requirements and test new local withholding tax codes for the payroll system. The Payroll Tax Manager will also be responsible for updating federal tax tables and assisting in the testing of state withholding taxes annually. Collaboration with the IT department is essential for applying Costpoint tax updates, including reviewing release notes and preparing scenarios for testing. The manager will audit wage and withholding information to ensure accurate W-2 reporting and prepare governmental returns for quarterly and annual withholding reconciliations. This role requires a proactive approach to resolving payroll tax issues and assisting employees, supervisors, and HR with inquiries related to payroll tax matters.

Responsibilities

  • Prepare federal, state, occupational privilege, and local withholding tax returns.
  • Remit tax payments to appropriate taxing jurisdictions to ensure accurate reporting and minimize assessments, penalties, and interest.
  • Prepare quarterly unemployment insurance returns and remit timely contribution payments to appropriate unemployment insurance agencies.
  • Support payroll personnel on withholding tax matters, including guidance on reciprocity agreements and withholding tax calculations.
  • Review quarterly reports and amendments.
  • Coordinate with third-party vendors for filing returns, amendments, and related tax payments.
  • Prepare monthly journal entries.
  • Research local withholding tax requirements and test new local withholding tax codes for the payroll system.
  • Update the Federal Tax Tables, SDI/EE SUTA, and Local Tax Table annually.
  • Assist in the testing of State Withholding Taxes annually.
  • Work with IT for application of Costpoint tax updates and conduct User Acceptance Testing sign-off.
  • Audit wage and withholding information for accurate W-2 reporting.
  • Prepare governmental returns for quarterly and annual withholding reconciliations.
  • Investigate and resolve payroll tax issues in a timely manner.
  • Assist employees, supervisors, and HR with inquiries via phone, email, and in person.
  • Analyze and calculate changes for various Excel spreadsheets and utilize payroll software for accurate reporting.
  • Perform special payroll tax projects as assigned by the Payroll Director.
  • Assist with Internal, External, State Agencies, and Governmental Auditors.
  • Apply for Employers Registrations for various states.
  • Plan improvements of procedures related to payroll tax to enhance effectiveness and efficiency.

Requirements

  • 10+ years of payroll tax/accounting experience.
  • Bachelor's degree in accounting or equivalent technical training.
  • Experience in an in-house payroll environment.
  • Comprehensive understanding of payroll tax and statutory environment, including local, federal, and multi-state tax regulations.
  • Ability to read, comprehend, and analyze intricate regulatory payroll tax information.
  • Excellent project management and time management skills.
  • Advanced MS Excel skills.
  • Strong written and verbal communication skills.
  • Ability to handle numerous tasks simultaneously in a fast-paced, deadline-driven environment.
  • Tactical thinker, result-oriented, and a team player with sound business intelligence.
  • Experience with accounting systems.
