About the position

The Payroll Tax Specialist (UKG) position is a fully remote role focused on ensuring compliance with US federal, state, and local tax laws. The specialist will monitor and understand these laws to avoid compliance issues and penalties. Regular audits will be performed to identify and resolve any compliance issues, ensuring timely filings and avoiding delays. The role requires close collaboration with the Payroll Team to ensure accurate and timely processing of payroll tax liabilities. In addition to compliance monitoring, the Payroll Tax Specialist will be responsible for reconciling federal and state withholding taxes and unemployment taxes on a monthly, quarterly, and annual basis. This includes partnering with internal stakeholders and UKG to apply for identification numbers, such as FEIN and SUI, when entering new jurisdictions. The specialist will also evaluate and improve payroll tax processes to enhance efficiency and accuracy, identifying opportunities for automation and leading implementation efforts related to payroll taxes. Year-end efforts will also be coordinated to ensure accurate W-2s and other annual tax filings. The specialist will ensure proper setup and maintenance of local withholding codes for both employers and employees within the UKG payroll system, contributing to the overall effectiveness of the payroll process.

Responsibilities

  • Monitor and understand US federal, state, and local tax laws to ensure compliance.
  • Perform regular audits to identify and resolve compliance issues, avoiding delays in filings and monitoring penalties/notices.
  • Work in partnership with the Payroll Team to ensure accurate and timely processing of payroll tax liabilities.
  • Reconcile federal and state withholding taxes and unemployment taxes monthly, quarterly, and annually.
  • Partner with internal stakeholders and UKG to apply for identification numbers, such as FEIN and SUI, when entering new jurisdictions.
  • Evaluate and improve payroll tax processes for higher efficiency and accuracy.
  • Identify opportunities for automation and lead implementation efforts related to payroll taxes.
  • Coordinate year-end efforts to ensure accurate W-2s and other annual tax filings.
  • Ensure proper setup and maintenance of local withholding codes for employers and employees in the UKG payroll system.

Requirements

  • Minimum of 3 years of payroll tax multi-state and federal compliance experience.
  • At least 2 years of experience with UKG Pro, ideally with UKG Tax experience.
  • Intermediate Excel skills, including SUMIFs, Pivot Tables, Index/Match, and VLOOKUP.
  • CPP/FPC certification is a plus.
