About the position

The Payroll Tax Specialist at Acumen LLC is a critical role responsible for ensuring the accurate and timely management of payroll tax obligations across multiple jurisdictions. This position involves the preparation and filing of returns for federal, state, and local tax liabilities, ensuring compliance with all applicable laws and regulations. The specialist will handle high-volume transactions and must be adept at managing the complexities of multi-state payroll operations. This includes filing quarterly and annual unemployment taxes, conducting thorough examinations of payroll records, and ensuring that all tax transactions are recorded correctly. The role also requires the completion of monthly, quarterly, and annual tax reconciliations to guarantee accurate filings, and may involve performing audits as necessary based on jurisdictional requirements. In addition to tax filings, the Payroll Tax Specialist will be responsible for W-2 reconciliations and processing any necessary corrections. The role requires applying for Acumen Fiscal Agent authorization to act as an appointed agent for federal and state tax liabilities. The specialist will also investigate and resolve tax notices, penalties, and questionnaire requests, necessitating effective communication with both the Accounting and Payroll Departments to identify and rectify any variances. The position emphasizes the importance of maintaining up-to-date employer files within the company's electronic records management system and requires a proactive approach to developing mentoring opportunities to enhance training and onboarding processes. The specialist will champion the department's culture and support the implementation of the DCI system, while also identifying and testing efficiency-related processes and improvements. Collaboration with IT and FASI is essential to enhance operations and automation capabilities within the Tax department. The role may also include other job-related duties as assigned, with a strong emphasis on supporting the company's cybersecurity posture by adhering to established policies and procedures.

Responsibilities

  • Ensure accurate and timely deposits and preparation of returns for all filing jurisdictions.
  • File quarterly and annual unemployment taxes.
  • Examine payroll records for proper recording of tax transactions and compliance with laws.
  • Complete monthly, quarterly, and annual tax reconciliations to ensure accurate filings.
  • Perform W-2 reconciliations and process corrections as required.
  • Apply for Acumen Fiscal Agent authorization for federal and state tax liabilities.
  • Investigate and resolve tax notices, penalties, and questionnaire requests.
  • Interact with Accounting and Payroll Departments to identify and resolve variances.
  • Maintain up-to-date employer files within the electronic records management system.
  • Develop and pursue formal mentoring opportunities for training and onboarding.
  • Promote and support DCI system implementation and stay current on new releases.
  • Identify, test, and support department efficiency-related processes and improvements.
  • Collaborate with FASI & IT to enhance operations and automation capabilities of the Tax department.
  • Perform other job-related duties as assigned.

Requirements

  • High School Diploma or Equivalent.
  • 1+ years' experience in multi-state payroll/taxes and knowledge of domestic employer filing requirements.
  • Basic knowledge of payroll and accounting.
  • Ability to read and interpret complex federal, state, and local policies and regulations.
  • Excellent analytical, technical, and tax accounting/technology skills.
  • Knowledge of generally accepted accounting principles (GAAP) and tax compliance.
  • Demonstrated organizational skills with attention to detail and time management.
  • Advanced computer skills, including proficiency in Microsoft Word, Excel, and email.
  • Ability to work effectively with internal and external departments and customers.
  • Proficient understanding of relational databases.
  • Excellent customer service skills.
