The Payroll Specialist will play a crucial role in the financial services firm, which is known for its strong culture and collaborative work environment. This position involves managing payroll processing through ADP Workforce NOW, ensuring that all payroll transactions are processed accurately and in a timely manner. The firm is a privately owned and independent asset management company that provides comprehensive investment management, wealth planning, and family office services. In this client-facing role, the Payroll Specialist will be responsible for maintaining timekeeping records, reviewing payroll and payroll reports for accuracy, and reconciling weekly and quarterly wage and tax reports. The position requires a keen attention to detail and the ability to adapt to a fast-paced environment where changes occur rapidly. The Payroll Specialist will also be tasked with ensuring compliance with federal, state, and local payroll, wage, and hour laws, as well as best practices. This role will involve assisting with year-end payroll activities, including W-2 processing, and performing other duties as assigned. The ideal candidate will have a strong background in payroll processing and tax filing, with advanced knowledge of ADP Workforce NOW. They will be expected to work closely with federal and state agencies to set up new client payroll accounts and produce payroll reports using the ADP system. The ability to respond to and resolve payroll questions and discrepancies in a professional and timely manner is essential, as is the capacity to maintain accurate client files within the internal electronic filing system.

Responsibilities

  • Perform pay data entry using ADP Workforce NOW.
  • Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions.
  • Work with federal and state agencies to setup new client payroll accounts.
  • Collaborate with ADP's implementation staff to setup new client payroll accounts.
  • Produce payroll reports using ADP Workforce NOW.
  • Process WC/SDI insurance payments and annual audits through internal cash system.
  • Respond and resolve payroll questions and discrepancies in a professional, accurate, and timely manner while delivering quality client service.
  • Reconcile client payroll reports using Microsoft Excel.
  • Reconcile ADP quarterly tax returns.
  • Maintain client files within internal electronic filings system.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Assist with year-end payroll activities including W-2 processing.
  • Perform other duties as assigned.

Requirements

  • Bachelor's degree in accounting or payroll preferred.
  • APA Certification preferred.
  • 3-5 years of knowledge of payroll processing and tax filing/depositing process.
  • Advanced knowledge with ADP Workforce NOW preferred.
  • Understanding of how to import time through the ADP Time and Attendance System.
  • Ability to perform payroll entries, federal and state tax principles, wage and hour laws for both corporate and household type entities in multiple states.
  • Ability to reconcile Federal and State payroll tax returns.
  • Understanding of state workers compensation and disability laws.
