About the position

The Payroll Tax Specialist at Dentive will be responsible for managing and ensuring compliance with federal, state, and local payroll tax regulations for the organization and its dental partners. This role involves calculating, reporting, and remitting payroll taxes, as well as addressing tax-related inquiries and audits. The position requires collaboration with various departments to ensure accurate and timely payroll tax processing.

Responsibilities

  • Ensure payroll taxes are accurately calculated and withheld from employee wages in compliance with federal, state, and local tax regulations.
  • Prepare and file payroll tax returns (e.g., federal, state, and local) on a timely basis, including quarterly and annual filings (941, 940, W-2, W-3, etc.).
  • Ensure timely payment of payroll taxes to the appropriate tax authorities.
  • Reconcile payroll tax accounts and resolve discrepancies as needed.
  • Assist with payroll tax audits by gathering necessary documentation and providing clear explanations to auditors.
  • Respond to notices from tax authorities and resolve any payroll tax issues or discrepancies.
  • Perform regular reconciliations of payroll tax liabilities to ensure accurate reporting.
  • Review and verify employee tax information, such as withholding allowances, W-4s, and exemptions.
  • Recommend and implement process improvements to streamline payroll tax operations and improve efficiency.
  • Provide guidance to employees and management on payroll tax-related matters, such as withholding elections, tax changes, and reporting requirements.

Requirements

  • Bachelor's degree in Accounting, Finance, Business, or a related field preferred.
  • Minimum of 5 years of experience in payroll tax administration, including multi-state payroll tax compliance.
  • Strong knowledge of federal, state, and local payroll tax regulations.
  • Excellent attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Excel and other office software.

Nice-to-haves

  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred but not required.
  • Experience with UKG PRO Payroll software and tax reporting tools, strongly preferred.
