About the position

The Payroll Tax Specialist at Paradigm is responsible for ensuring multi-state payroll tax compliance and general ledger accuracy. This role involves managing payroll-related audit documents, processing payroll accurately, and collaborating with the payroll team to handle various payroll functions. The specialist will also be involved in creating reports, maintaining standard operating procedures, and providing customer service to internal and external stakeholders.

Responsibilities

  • Ownership of company-wide multi-state payroll tax compliance, including employee, employer, unemployment, and local taxes.
  • Perform tasks related to filing and payment of payroll tax and withholding payments accurately and timely.
  • Ensure compliance with quarter-end and year-end payroll and unemployment reporting requirements for all federal, state, and local agencies.
  • Manage company general ledger setup and maintenance within the HRIS system.
  • Provide all payroll-related documents during annual audits and coordinate with HR personnel for document access.
  • Create and facilitate company reporting and transactions for accounting, finance, and operations.
  • Ownership of the Standard Operating Process (SOP) documentation for payroll duties.
  • Understand the implications of system updates and interfaces related to payroll and tax agencies.
  • Set up and perform processes to withhold and pay ancillary deductions, wage garnishments, and benefits.
  • Support the preparation and processing of regular, adjustment, bonus, and off-cycle payrolls.
  • Ensure full employee data accuracy across multiple company systems.
  • Provide timely and accurate customer service to internal and external customers.
  • Participate in team communication events and special projects as assigned.

Requirements

  • Working knowledge of HRIS payroll systems, preferably online (Dayforce experience is helpful).
  • Five or more years of multi-state payroll tax and general ledger experience.
  • Professional expertise with multi-state payroll taxes and audit experience.
  • In-depth knowledge of accounting principles and proficiency in Microsoft Office, especially Excel.
  • Ability to function in an advanced technical environment, including complex accounting software and spreadsheets.
  • Highly organized with excellent communication skills.
  • Strong problem-solving, creative thinking, and customer service skills.
  • Ability to interact effectively with internal and external parties, including in a leadership capacity.
  • Must embrace change and understand its impacts on payroll processes.
  • Ability to prioritize and multitask to meet deadlines.

  • Experience with online HRIS payroll systems.
  • Familiarity with Dayforce payroll system.
