About the position

As a Payroll Tax Specialist at ARCO, you will play a crucial role in ensuring the accuracy and compliance of payroll tax processes. Your responsibilities will include reconciling, transmitting, and validating employee and employer tax withholding on a weekly, biweekly, quarterly, and annual basis. You will be responsible for identifying, registering, and administering new payroll taxes as work locations are created, as well as managing current tax accounts and making necessary updates or closures when locations are closed or moved. Your attention to detail will be essential as you make calendar year balance adjustments and W2-C changes when warranted, ensuring that all amended filings are completed accurately and on time. In addition to these core responsibilities, you will periodically audit employee tax records to ensure accurate taxation and proactively minimize W2-C issuance. You will also review ongoing tax updates and testing to ensure proper taxation changes are implemented. Responding to tax authority notices and correspondence in a timely manner will be part of your duties, as will reviewing new hires, transfers, and address changes to ensure accurate tax setup in employee payroll profiles. You will assist with the quarterly reconciliation of W-2 files and balance and review US and Canada tax table totals within a limited timeframe. Thorough examination of W2 and T4 information before printing and distribution will also be a key part of your role.

Responsibilities

  • Reconcile, transmit, and validate employee/employer tax withholding on a weekly, biweekly, quarterly, and annual basis.
  • Identify, register, and administer new payroll taxes as work locations are created.
  • Manage current tax accounts and make updates or close accounts when locations are closed or moved.

  • Ensure all amended filings are completed.

  • Investigate, resolve, and respond to tax authority notices and correspondence in a timely manner.
  • Review new hires, transfers, and address changes to ensure accurate tax setup in employee payroll profile.
  • Assist with the quarterly reconciliation of W-2 files.
  • Balance and review US and Canada tax table totals within a limited frame of time.
  • Examine W2 & T4 information before printing and distribution.

Requirements

  • 5-7 years of payroll tax experience and working with multi-state payroll processing.
  • Bachelor's Degree required or equivalent experience.
  • Certified Payroll Professional (CPP) certification preferred.
  • Experienced user of MasterTax desired.
  • Experience with multiple FEINs, multiple states, and multiple localities.
  • Experience in a fast-paced, continually changing business and work environment while managing multiple priorities.
  • Solid understanding of payroll tax compliance including federal regulations, multi-state taxation, and reciprocity rules, annual wage base and limits.
  • Experience with both U.S. and Canadian tax systems preferred.
  • Strong communication and interpersonal skills both in writing and verbally.
  • Ability to analyze and interpret data for accuracy.
  • Proficient in MS Word, Excel, and Outlook skills.
  • Ability to maintain a high level of confidentiality.
