About the position

The Payroll Timekeeper/Administrative Assistant III at the Cook County Sheriff's Office provides essential clerical support to the Department of Fiscal Administration, specifically within the Payroll Division. This role involves processing payroll and timekeeping information, maintaining confidentiality, and ensuring compliance with established guidelines. The position requires attention to detail, basic mathematical skills, and proficiency in office software to manage payroll records and assist staff and clients effectively.

Responsibilities

  • Provide logistic clerical support to the Payroll Division and staff.
  • Process payroll and timekeeping information according to prescribed methods.
  • Perform basic mathematical calculations for time and attendance records.
  • Post time from Timekeeping Request Forms to ensure accurate adjustments of time and attendance.
  • Participate in daily and quarterly audits of the Workforce Cook County Time Payroll system.
  • Compose standard format letters, labels, and spreadsheets using word processing software.
  • Review documents for completeness, clarity, and accuracy; reconcile discrepancies as needed.
  • Maintain office files and records, assisting others in locating and retrieving information.
  • Receive and distribute mail and other materials; provide basic information to callers and visitors.
  • Perform routine administrative tasks such as maintaining calendars and screening calls.

Requirements

  • High school diploma or GED.
  • Two years of professional experience using an electronic time and attendance system.
  • Three or more years of professional work experience in processing payroll records and related timekeeping.
  • Proficiency in PC software and other computerized programs for managing information and generating reports.
  • Basic mathematical skills for routine calculations and attention to detail.

Nice-to-haves

  • Two years of professional work experience in a large public or governmental organization.
  • Ten or more years of professional work experience in processing payroll records and auditing systems.
  • Two years of experience utilizing Workforce Employee Center software and/or Cook County Time Payroll System.
