About the position

The Payroll Timekeeping Specialist serves as a vital member of the Trinity Health Payroll Shared Services team, focusing on the daily payroll activities for assigned ministries or service lines. This role requires close collaboration with Payroll Coordinators and Operations Managers to ensure the accuracy of employee payroll processing, timekeeping, and management of employee information. The specialist is expected to embody and demonstrate the Trinity Health Mission, Vision, and Values in all behaviors, practices, and decisions, ensuring adherence to processes and procedures as outlined by Payroll Leadership in compliance with federal and state regulations as well as Trinity Health policies. In this position, the specialist will support the centralized management of payroll tax functions by completing payroll tax reports and conducting audits to ensure data accuracy. A thorough understanding of federal and state wage and hour laws is essential, as the specialist will assist with quarter-end and year-end payroll activities, including W-2 and W-2c processing to ensure compliance and accuracy. The role involves running Kronos/Dimensions timekeeping reports and Workday Payroll reports for pay period audits, acting as a backup to the Payroll Coordinator for balancing timekeeping file information, and preparing EIBs for biweekly processing. Additionally, the Payroll Timekeeping Specialist will process employee expense reimbursement forms, maintain confidentiality of payroll and HR information, and assist with special projects related to system enhancements and quality improvements. The specialist will monitor the payroll team email inbox and ticket queue for employee inquiries, process time correction forms, and assist with tax withholding and payment issues. The role also includes processing child support, creditor garnishments, and tax levies, preparing EIBs for supplemental payments, and performing other duties as assigned. A commitment to maintaining a working knowledge of applicable laws and regulations, as well as adherence to the Trinity Health Integrity and Compliance Program, is crucial for success in this role.

Responsibilities

  • Support and perform day-to-day payroll activities for assigned ministries or service lines.
  • Collaborate with Payroll Coordinators and Operations Managers to ensure payroll accuracy.
  • Complete payroll tax reports and perform audits to ensure data accuracy.
  • Assist with quarter-end and year-end payroll activities, including W-2/W-2c processing.
  • Run Kronos/Dimensions timekeeping reports and Workday Payroll reports for audits.
  • Act as backup to Payroll Coordinator for balancing timekeeping file information and preparing EIBs.
  • Process employee expense reimbursement forms and maintain confidentiality of payroll information.

Requirements

  • Associates degree in accounting or human resources, or 1-3 years of equivalent experience in payroll.
  • Experience in a multi-entity and multi-state organization handling payroll processes and compliance.
  • Familiarity with internal controls related to payroll functions.
  • Ability to work well in a team environment.
  • Good oral and written communication skills, comfortable communicating with all levels of the organization.
  • Strong analytical skills for data collection, summarization, analysis, and evaluation.
  • Detail-oriented with the ability to meet established deadlines and excellent follow-through.
  • Strong personal computer skills, particularly in Excel; experience with Workday, Kronos/Dimensions, and ADP tax services preferred.
  • Demonstrated understanding of accounting principles.
  • High degree of professionalism and customer focus, maintaining confidentiality.
  • Highly motivated self-starter with good judgment, tact, and diplomacy.

Nice-to-haves

  • Experience with payroll tax and state reciprocity rules.
