About the position

The Payroll Timekeeping Specialist serves as a vital member of the Trinity Health Payroll Shared Services team, responsible for supporting and executing day-to-day payroll activities for assigned ministries or service lines. This role requires close collaboration with Payroll Coordinators and Operations Managers to ensure accuracy in all aspects of employee payroll processing, timekeeping, and employee information management. The specialist is expected to embody and demonstrate the Trinity Health Mission, Vision, and Values in their daily practices and decisions, ensuring adherence to processes and procedures as outlined by Payroll Leadership in compliance with federal and state regulatory requirements as well as Trinity Health policies. Key responsibilities include supporting the centralized management of payroll tax functions by completing payroll tax reports and conducting audits to ensure data accuracy. The specialist must possess a thorough understanding of federal and state wage and hour laws relevant to their assigned ministry or service line. They will assist with quarter-end and year-end payroll activities, including W-2 and W-2c processing, to ensure compliance and accuracy. The role also involves running Kronos/Dimensions timekeeping reports and Workday Payroll reports for pay period audits, acting as a backup to the Payroll Coordinator for balancing timekeeping file information, and preparing EIBs for biweekly processing. In addition to processing employee expense reimbursement forms, the Payroll Timekeeping Specialist is responsible for maintaining confidentiality regarding all payroll and human resources information. They will assist with special projects related to system enhancements and quality improvements, monitor the payroll team email inbox for employee inquiries, and respond accordingly. The specialist will also process employee time correction forms, analyze and correct tax withholding and payment issues, and handle child support, creditor garnishments, and tax levies submitted to ADP. Other duties may be assigned as necessary, and the specialist is expected to maintain a working knowledge of applicable laws and regulations to ensure adherence to ethical and professional standards.

Responsibilities

  • Support and perform day-to-day payroll activities for assigned ministries or service lines.
  • Collaborate with Payroll Coordinators and Operations Managers to ensure accuracy in payroll processing and timekeeping.
  • Complete payroll tax reports and perform audits to ensure data accuracy.
  • Assist with quarter-end and year-end payroll activities, including W-2/W-2c processing.
  • Run Kronos/Dimensions timekeeping reports and Workday Payroll reports for pay period audits.
  • Act as backup to Payroll Coordinator for balancing timekeeping file information and preparing EIBs for biweekly processing.
  • Process employee expense reimbursement forms and maintain confidentiality of payroll information.
  • Assist with special projects related to system enhancements and quality improvements.
  • Monitor payroll team email inbox for employee inquiries and respond accordingly.
  • Process employee time correction forms and historical edits in the timekeeping system.
  • Assist with analysis and correction of tax withholding and payment issues.
  • Process child support, creditor garnishments, and tax levies submitted to ADP.
  • Prepare EIBs for supplemental payments and payment corrections.

Requirements

  • Associate's degree in accounting or human resources, or 1-3 years of equivalent experience in payroll.
  • Experience in a multi-entity and multi-state organization handling payroll processes and compliance with payroll-related regulations.
  • Familiarity with internal controls related to payroll functions.
  • Ability to work well in a team environment and communicate effectively with all levels of the organization.
  • Strong analytical skills with the ability to develop methodologies for data collection and analysis.
  • Detail-oriented with the ability to meet established deadlines and follow through on tasks.
  • Strong personal computer skills, particularly in Microsoft Excel.
  • Experience with Workday, Kronos/Dimensions timekeeping, and ADP tax services is preferred.
  • Demonstrated understanding of accounting principles and practices.
  • High degree of professionalism and customer focus, with the ability to maintain confidentiality.

Nice-to-haves
